Job description / Role

Employment: Full Time

Under general direction of the Facility Manager, the Facility Supervisor is responsible for organizing, monitoring, and supervising building facility maintenance operations in a designated area.

KEY ACCOUNTABILITIES:
- During Tenant move outs, inspects vacant units and surrounding areas in coordination with the tenant and the APM in order to recommend refurbishing / reconditioning, completing repairs / renovations.
- Supervise and direct the work of the service providers and handover of the units as per the agreed timeframe.
- Responds appropriately and resolve daily emergency maintenance requests from the tenants as they arise.
- Acquire daily building updates from respective building watchman and update FM on weekly basis.
- Monitors all service providers as per contract and reviews their performance as per SLA’s (number of calls responded to, execution time, etc) and provide monthly report to facility coordinator.
- Coordinate with Facility Coordinator to ensure PPMs are carried out as per the PPM calendar and submit report to facility coordinator.
- Coordinates with contractors and service providers for all aspects of facility management; cleaning, pest control, waste management, preventive and corrective maintenance.
- Monitor the work of contractors and their respective PPM.
- Review all tenant daily request and update status in online system accordingly.
- Review stock inventory report on monthly basis, generated by Inventory Controller.
- Responsible to follow Inventory Procurement Policy.
- Requests and reviews service reports from various service line vendors (Alarm, CCTV, Housekeeping, Pest Control, Fire Fighting Equipments, etc).
- Monitor the FM software for complaints to ensure outsourced vendors complete the all jobs in a timely manner.
- Follows up on pending jobs with vendors.
- Reviews customer feedback and escalates any issues for improvement to Facility Manager.
- Ensures that all required third party inspections are conducted and reports completed on timely basis.
- Coordinate with relevant departments and authorities to secure required approvals and permits i.e. Civil Defense Approval, Mall Approval, Police Permission, DPS Approval and Inspection, Permission for hoarding erection and removal, etc.
- Ensures proper asset register are maintained with labeling and classification of all assets in coordination with appointed building FM Company. Ensures that information is accurately captured in the system.
- Ensures compliance with building, Health and Safety regulations and Environmental codes.
- Assess risk prior of the project or maintenance work and ensures team follows safety methods, procedures, and techniques while carrying out their duties.
- Mitigate any potential hazards and associate risk prior to job commencement.

Requirements

- Bachelor Degree in Business Administration in Engineering or equivalent degree.
- FM certification would be preferred.
- Five years facility maintenance experience – 2 of which in a supervisory role

Job-Specific Skills
- Read and understand construction drawings, plans and specifications.
- Organize and direct facility maintenance operations and activities.
- A good understanding of property maintenance, methodologies and processes.
- Excellent MS Office skills.
- Be able to use AutoCAD software and respective drawings.
- Supervise, train and evaluate assigned staff.
- Interpret and explain pertinent department policies and procedures.
- Develop cost estimates for supplies and equipment.
- Perform complex maintenance duties and operate related equipment.
- Develop and recommend systems and procedures related to assigned operations.

Competencies
- Excellent interpersonal and communication skill with the ability to give clear and precise instruction to third parties. Excellent written and verbal communication at all levels is vital to this role.
- Ability to organize, prioritize and schedule.
- Ability to develop new ideas and methods to improve quality of results.
- Responsiveness to changes/requirements.
- Driving license is a must.
