Role Summary:
The Front Desk Administrator is the first point of contact for visitors and callers. In addition to welcoming guests and handling telephone inquiries, this role provides administrative support to ensure smooth office operations. The ideal candidate should have excellent communication skills, is highly organized, and can handle multiple tasks efficiently.
Key Responsibilities:
• Greet and direct visitors politely, manage sign-in procedures, maintain basic logs and records (visitor logs, delivery records, etc.)and maintain a tidy reception area. Handle incoming calls, transfer calls to the appropriate staff members, and take detailed messages when necessary.
• Assist in scheduling meetings, booking conference rooms, and coordinating office events.
• Manage mail distribution, courier services, and office supply inventories (including ordering and restocking as needed).
• Update internal contact lists, calendars, and other office documents with accuracy and confidentiality.
• Liaise with facility management or vendors for any maintenance or technical support needed in the office.
• Adhere to company policies and guidelines, maintaining confidentiality where required.
• Ensure the timely settlement of the company’s electricity, water, internet expenses etc by monitoring due dates, verifying invoices, and initiating payment in coordination with Finance.
• Collaborate with HR and Finance on expense reimbursements, preparing necessary documentation, verifying supporting receipts, and following up on approval workflows.
• Maintain organized records of all reimbursement documents in both digital and physical formats, ensuring secure storage and easy retrieval.
• Manage the company driver’s daily schedule, ensuring efficient route planning and timely pick-ups/drop-offs for staff, visitors, and deliveries.
• Monitor vehicle upkeep (fuel, salik, servicing, insurance) and coordinate with external vendors or internal Finance for any related payments or approvals.
• Monthly Attendance Record, Collect and maintain accurate attendance logs (including time sheets, clock-in/out data) for all employees. Identify any anomalies, compile a monthly attendance summary and submit to HR for payroll processing or further action.
• Assist HR with company activity such as holiday gatherings, team-building events, or any cultural festivities that promote a positive, collaborative environment.
• Act as a point of contact for inquiries relaying information promptly to the appropriate teams.
• Ensure the office and meeting rooms are kept clean and tidy at all times.
• Any other tasks assigned to support the smooth operation of the whole office.
Requirements:
The candidate who can join immediately is preferred.
• High school, diploma or equivalent; a degree or diploma in business administration or related field is a plus.
• Previous experience in a front desk or administrative support role preferred (1–2 years recommended).
• Familiarity with basic office software (e.g., MS Office Suite, email client) and phone systems.
• Excellent verbal and written communication in [language(s) required, e.g., English]; additional languages may be beneficial.
• Professional, courteous phone etiquette and a welcoming demeanor for in-person interactions.
• Proven capacity to handle multiple tasks concurrently (e.g., managing calls, greeting visitors, scheduling).
• Attention to detail in record-keeping, data entry, and basic reporting.
• Demonstrated ability to work collaboratively with colleagues across various departments.
• Positive, helpful attitude and a willingness to assist with ad-hoc administrative tasks.
• Upholds a professional appearance and behavior; respects data privacy and sensitive company information.
• Punctual, responsible, reliable, and adheres to company policies and procedures.
Salary:
AED
4,000 to 5,000
per month inclusive of fixed allowances.
