Job description / Role
The Group Event Manager will oversee the planning, coordination, and execution of a variety of events, including exhibitions, book fairs, company events, and other large-scale functions. The Group Event Manager will work closely with clients, vendors, and internal teams to ensure each event's success.
Key Responsibilities:
Event Planning and Coordination:
• Develop detailed event plans, including timelines, budgets, and resource allocation.
• Coordinate with clients to understand their objectives and event requirements.
• Oversee venue selection, vendor management, and contract negotiations.
• Create and manage event schedules, ensuring all deadlines are met.
Exhibitions and Book Fairs:
• Lead the organization of exhibitions and book fairs, from concept development to execution.
• Manage the layout, design, and setup of exhibition booths and displays.
• Collaborate with exhibitors, authors, and publishers to ensure their participation is seamless.
• Handle logistics, including shipping, setup, and breakdown of exhibits.
Company Events:
• Plan and execute internal company events, such as conferences, seminars, team-building activities, and corporate celebrations.
• Work closely with internal stakeholders to align event objectives with company goals.
• Ensure all company events reflect the brand and culture of the organization.
Budget Management:
• Develop and manage event budgets, ensuring all expenses are tracked and within approved limits.
• Negotiate with vendors and suppliers to secure the best possible pricing.
• Provide regular budget updates to senior management.
Marketing and Promotion:
• Collaborate with the marketing team to create promotional strategies for events.
• Utilize social media, email campaigns, and other marketing channels to drive event attendance and engagement.
• Manage event websites, registration systems, and attendee communications.
On-Site Management:
• Oversee event setup, execution, and breakdown.
• Manage event staff and volunteers, providing clear instructions and support.
• Address any issues that arise during the event, ensuring a smooth experience for all attendees.
Post-Event Evaluation:
• Conduct post-event evaluations, including gathering feedback from attendees, clients, and team members.
• Analyze event outcomes and prepare detailed reports with recommendations for future improvements.
• Manage the documentation of all events, including photos, videos, and written summaries.
Requirements:
• Bachelor's degree in Event Management, Marketing, Business Administration, or a related field.
• Minimum of 5 years of experience in event planning and management, with a focus on large-scale events.
• Experience in organizing exhibitions, book fairs, and corporate events.
• Linguistic Skills: English and Arabic language spoken and written skills.
• Excellent written and verbal communication skills
• Driving License: A valid UAE D/L
Skills:
• Strong project management skills, with the ability to multitask and manage multiple events simultaneously.
• Proficiency in event management software and tools.
• Ability to work under pressure and meet tight deadlines.
