Job description / Role

Employment: Full Time

• Updates information of employees in HR database on a daily basis and monitors any expiries of visas, labour cards, passports, and licenses.
• Communicates with labour accommodation for entry and exit of labour, maintains an updated list in HR database and monitor the services provided.
• Maintains a daily record of staff attendance and ensures that all staff leave applications are accurate.
• Negotiates with vendors to obtain optimum quality, cost, terms etc.
• Prepares Evaluation forms and follows up with managers for timely completion
• Compiles formulation of company policy, Organization, NDR etc
• Responsible for investigating and resolving workplace issues, the direct Manager and resolve employee complaints.
• Must be well versed in (UAE Labour law).
• Perform related other duties/assignments as instructed submit and Review/Check contracts, invoices on behalf of the direct Manager prior to their approvals in the system
• Liaise with Team leaders for analyzing and reporting on the above
• Manage the direct Manager office, maintain decorum, order regular supplies of consumable items
• Maintain diary, arrange meetings and appointments and provide reminders
• Make travel arrangements
• Take dictation and minutes and accurately enter data
• Represents the executive by attending meetings with the executive, or in the executive's absence; taking minutes of meetings, speaking for the executive.
• Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
• Maintains customer confidence and protects operations by keeping information confidential.
• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

Responsibilities:
• Coordinate and oversee all office activities
• Ensure adherence to relevant company procedures and policies
• Handle phone calls and all related correspondence
• Provide assistance with different budgeting and bookkeeping activities
• Keep databases in check and update them regularly
• Control the office supplies state and make sure it is in accordance with office needs
• Supervise cleaning crew and cleanliness of office space
• Create and present reports for senior managers
• Organize and maintain personnel records
• Update internal databases (e.g. record sick or maternity leave)
• Prepare HR documents, like employment contracts and new hire guides
• Revise company policies
• Liaise with external partners, like insurance vendors, and ensure legal compliance
• Create regular reports and presentations on HR metrics.
• Answer employees queries about HR-related issues
• Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
• Arrange travel accommodations and process expense forms
• Proven work experience as an office/HR Administrator.
• Hands-on experience with office management computer programs (such as ERP)
• Computer literacy (MS Office applications, in particular)
• Comprehensive understanding of insurance offerings, payroll issues, and labour law.
• Excellent organizational skills, with an ability to prioritize important projects
• Strong phone, email and in-person communication skills

Salary:
AED 5,000 per month inclusive of fixed allowances.

Requirements

• Bachelor’s degree in business.
• 2 or more years of HR experience in the UAE.
• Ability to meet tight deadlines.
• Ability to perform multiple tasks.
• Ability work well under pressure.
• Time management skills
• Strong communication and Customer service skills
• Proficiency in English
• Proficient in Word, Excel, Outlook, and PowerPoint.
• Age 25-40.
• The candidate needs to Native Arabic speaking
• Strong communication skills and the ability to take ownership and initiative
