Job description / Role

Employment: Full Time

Responsible for day to day administration support function within the Human Resources Department including Payroll and Admin Department for a specific contract area. To be the first point of contact for all HR, Payroll and Admin inquiries. To ensure that the Human Resources administration is kept up to date and accurate to enable the smooth running of the department with the required information easily accessible.

Recruitment/New Hire Process:

• Posting job advertisement and organizing resumes and job applications.
• Shortlisting applicants for interview using a variety of selection techniques including telephone interview, general test and competency skills exam.
• Scheduling job interviews and assisting in interview process.
• Collecting employment and personal documents for visa application process.
• Ensuring background and reference checks are completed.
• Preparing new employee files which includes offer letter, employment contract and all relevant starter paperwork.
• Orienting new employees to the organization (HR Induction), setting up a designated work station, email address, etc.
• Administering employee training for the department and other department.
• Ensuring and monitoring visa application for employees from quota approval up to emirates id collection.
• Conducting benefit enrollment process
• Serving as a point person for all new employee questions.

Record Maintenance:

• Maintain current HR files and databases.
• Updating and maintaining employee benefits, employment status and similar records.
• Maintaining records related to grievances, performance reviews, and disciplinary actions.
• Performing file audits to ensure that all required employee documentation is collected and maintained.
• Completing termination paperwork and assisting with exit interviews.
• Monitoring of leave balances in the data base and reconciling any variances in the employee record.


Payroll and Benefits Administration:

• Coordinating with Insurance Brokers and Insurance Companies on employees medical insurance benefits, premiums, renewals, claims and billings.
• Analysing training developmental needs in conjunction with HR Manger and Line Managers planning and deliver training.
• Checking and ensure all relevant data is included for payroll from variety of spreadsheets (commission, bonus, incentive, offer letter, unpaid leave, holiday pay)
• Processing payroll, which includes ensuring all addition, deductions, new bank accounts and addendum to salaries are included and tracked in the payroll system.
• Answering payroll questions and distribution of payslips.
• Maintaining payroll record and provide payroll reports for Finance, Auditor and Management requirements.
• Facilitating resolutions to any payroll errors.

Employee and Management Service

• Creating and distributing documents relating to salary certificate, salary transfer letter, NOC and others.
• Maintaining awareness of and compliance with; local, state and federal labour laws.
• Listening, advising, coaching to grievances and implementing disciplinary procedures.
• Maintaining and revising the company's handbook on policies and procedures.

Requirements

• Professional qualification (Bachelor of Business Administration in Human Resource Management or Bachelors degree related in HR)
• Leadership and strong management skills
