Job description / Role
We are seeking a highly organized and proactive Legal Secretary cum Personal Assistant to join our legal team. This hybrid role combines administrative support to legal professionals with personal assistant duties to ensure the smooth operation of day-to-day tasks. The ideal candidate will have strong communication skills, attention to detail, and the ability to handle sensitive information with confidentiality.
Requirements:
- Provide personal assistant support to the senior partner or executive, including managing personal appointments, travel arrangements, and day-to-day schedules.
- Screen phone calls, emails, and messages on behalf of the senior executive and manage their correspondence effectively.
- Coordinate travel logistics for both business and personal trips, including flights, hotels, and transportation arrangements.
- Organize and prepare for business events, meetings, and conferences, including travel itineraries and expense reports.
- Maintain and update the personal calendar of the senior partner/executive, ensuring all appointments, meetings, and deadlines are managed efficiently.
- Ensure that the senior executive is briefed and prepared for all upcoming commitments.
- Assist with personal errands, such as managing appointments, household needs, or any other personal requirements for the executive.
- Handle confidential personal tasks with professionalism and discretion.
Document Management and Drafting
- Prepare and manage legal documents such as correspondence, contracts, and other legal papers.
- Draft, proofread, and edit legal documents to ensure accuracy, clarity, and compliance with applicable laws and firm standards.
- Maintain and organize case files, both hard copy and electronic, ensuring that documents are readily accessible for attorneys and clients.
Administrative Support to Lawyers
- Provide administrative support to attorneys, including managing calendars, scheduling appointments, and arranging travel.
- Prepare, organize, and maintain files for meetings and legal proceedings.
- Organize and attend internal and external meetings, taking minutes and following up on action points.
Confidentiality and Compliance
- Maintain confidentiality and handle sensitive legal and personal information with the utmost discretion.
- Ensure compliance with all internal policies and relevant legal standards, including document retention, client confidentiality, and security protocols.
