Job description / Role

Employment: Full Time

The purpose of this post is to provide the Logistics Manager with comprehensive day to day campus logistical support to effectively manage NYUAD deliveries, and tracking deliveries, sort and distribute the mails and packages, communicate with the client and being the front line communicator with different contractors/Third parties.

Structure and reporting relationship
Under the direction of the Logistics Supervisor

Key accountabilities
• To assist the Logistics supervisor by monitoring entire logistics department and campus logistics operations.
• To assist the Logistics Manager by liaising with the procurement, staff transportation, finance, stores & other entities on campus making sure the campus operation is uninterrupted.
• Developing and coordinate campus logistics, storage, horizontal and vertical deliveries, mail services, equipment maintenance and management for the Contract
• Outbound shipping of scientific research samples, including accurate completion of all required documentation such as commercial invoices, export and shipping documentation
• Resolve invoicing and shipping discrepancies and making sure that departmental cross charging tool works properly
• Work directly with the freight forwarder and carrier companies to receive and obtain the best quotes and coordinate shipments in best timely manner
• Conduct daily and weekly reviews of service delivery performance, prepare reports and provide data. Managing all operations staff and resources to ensure the team is performing to the required standards and in compliance with the procedures and instructions
• Leadership of the Logistics and Porterage teams, including Serco staff and subcontractors and identification of initiatives to improve logistic processes and procedures and capture manpower estimates.
• Investigate and report incidents and service delays, providing appropriate reports and recommend corrective and preventive actions

HSQE Responsibilities and Information Security Responsibilities
• Awareness of the Integrated Management System and the content of the Health, Safety, Quality & Environment and Information Security Policy Statements;
• Understanding of personal responsibilities and contribution to achieving compliance with the Integrated Management System requirements, (including but not limited to competence to perform safety critical roles, legal requirements, control measures arisen from environmental impacts and aspects, job safety analysis and information security risk assessment) and the potential consequences of departure from the arrangements in place to deliver the commitments stated in the policies statements above;
• To exercise their personal duty of care for their own health, safety and welfare and for those affected by the acts or omissions;
• Promote a good HSQE and Information Security culture among their peers, subcontractors and third parties;
• Lead by example and look at ways to conserve energy, water and resources and minimize the generation of waste through personal performance and raise recommendations on how to improve existing processes on this regard within/outside their departments through their Line Manager, Departmental Safety Meetings and any other appropriate available channels;
• Protect information assets and data including both electronic and paper based from all threats whether internal, external, deliberate or accidental;

Requirements

• Higher diploma graduate of post-secondary education in supply chain, logistics, warehousing or business administration discipline

Skills
• Ability to prepare data analysis, reporting, cost estimation, equipment maintenance and specifications, method statements, risk assessments and CAFM or ORACLE is preferable;
• Possess good communication skills and the ability to manage multiple tasks efficiently and work productively in a fast-paced, team-oriented environment;
• Organizational skills, detail oriented, and the ability to handle multiple priorities;
• Possess strong PC skills including proficiency with MS Outlook, Word, Excel and Power Point applications and ability to learn new software based applications;
• Hold a valid UAE driving license with good driving skill and experience is a plus

Experience
• Experience in logistics/warehouse environment.
• Some experience in planning, preparing procedures & instructions as required;
• General understanding of all aspects of safety issues related to the project.

• Ensure compliance with the Serco Management System and all relevant business processes, procedures and work instructions to deliver all work with appropriate quality and governance standards

• Ensure compliance with all training requirements of Serco and ensure adherence to these requirements at all times whilst in employment
• Report any accidents, incidents, breaches or potential breaches to appropriate management or the speak up process
