Job description / Role

Employment: Full Time

Key purpose
To prepare, sort and distribute incoming and outgoing mail, utilising hand or mail handling machines to sort, and route incoming mail; and address, seal, stamp, fold, pack, and affix postage to outgoing mail or packages. Duties may also include keeping necessary records and completed forms as well making sure that letters and packages are properly sent and delivered in the workplace. Requires excellent organizational and communication skills, and may be required to lift heavy packages

Structure and reporting relationship
Reporting directly to the logistics Supervisor

Key accountabilities
• Responsible for compiling and distributing all departmental mail and packages.
• Establish a daily mail run across the site covering every department for drop off and pick-up of inter-department mail.
• Sorts incoming mail for distribution and dispatches outgoing mail.
• Sorts mail according to departments and type, such as returned letters, adjustments, bill, orders and payments.
• Receives and delivers mail to individual offices.
• Handles allied clerical duties in connection with mail deliveries and pickups.
• Sorts mail according to a pre - planned route. Delivers mail and picks up and dispatches outgoing mail.
• Re-address undeliverable mail bearing incomplete or incorrect address.
• Maintains organization and personnel list by floors to aid in mail delivery.
• Tracks postage usage by each department and generates a monthly report to the Line Manager.
• Handles pick-up and delivery of bulk copying of documents.

Communication:
• Mailroom clerks need to speak with people in order to make sure mail and packages go where they are supposed to. Listening, talking and understanding is very important to the job.
• Good communication skills in English written and oral
• Excellent customer service and interpersonal skills

Dexterity:
• Mailroom clerks need to work fast to sort volumes of mail, and being good with your hands and having good hand/eye coordination is important.
• Stamina: Mailroom clerks spend much of their day on their feet, and may need strength to deliver large boxes of mail or heavy packages. Needs to be physically fit to perform the job

Organizational Skills:
• Mailroom clerks need to sort the mail in a way so that delivery is easy and fast. Having good organizational skills will help.
• Provide a high level of security to packages whilst in our care
• Ensure internal mail is delivered to correct recipient within agreed timescales
• Basic computer knowledge and working with scanner
• Well organized and focused on customer service and service delivery
• Ability to work under pressure, prioritize and multi task
• Work together as part of a wider team as necessary.
• Carry out any other reasonable ad-hoc tasks as requested by supervisor in line with capabilities and scope of work
• Keep the mail room clean, tidy adhering to good housekeeping rules at all times

Requirements

Knowledge/Skills
• 2 years’ experience in an office including the operation and distribution of mail.
• Physically fit
• Good communication skills in English written and oral
• Excellent customer service and interpersonal skills. Well organized and focused on customer service and service delivery
• Meticulous attention to detail
• Ability to work under pressure, prioritize and multi task
• Self-motivated and ambitious to provide best storage practices.
• Ability to meet physical requirements including long periods of standing, walking throughout large scale site.
• Work together as part of a wider team as necessary.
• Carry out any other reasonable ad-hoc tasks as requested by your supervisor in line with capabilities and scope of work

Physical Requirements:
• Close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus, with or without corrective lenses.
• Significant walking or other means of mobility.
• Ability to work in a standing position for long periods of time (up to 8 hours).
• Ability to reach, bend, stoop, push and/or pull, and frequently lift up to 35 pounds and occasionally lift/move 40 pounds.

Experience
• Experience in a mail room or similar area preferred but not essential as full training will be provided.
• Good knowledge of administration process

• Ensure compliance with the Serco Management System and all relevant business processes, procedures and work instructions to deliver all work with appropriate quality and governance standards
