The role
This is an exciting opportunity for an experienced mobilization coordinator for preparing all related documents, following up with the employees on their documentation status for residency renewals, new joiner medical, visa cancellations, assisting in the registration of national employees into the pension scheme (if applicable), and supporting all administrative tasks assigned within the function.

The key objectives for this role are:
- Coordinating the deployment of new employees to project sites
- Managing transport, job allocation, and scheduling for personnel
- Ensuring all site access paperwork and compliance requirements are met
- Acting as a liaison between clients, contractors, and project teams
- Updating rosters and preparing job packs for employees
- Organizing mobilization-related events and ensuring resource availability
Responsibilities
Key accountabilities and responsibilities:
- Responsible for the preparation and liaising of UAE visa applications
- Booking and arranging medical requirements for employees
- Booking and arranging Wood Group inductions for employees
- Booking and managing flights, accommodation, and transportation for employees' mobilization
- Maintaining the mobilization tracker and ensuring data are up to date at the highest standard and in line with emergency response procedures
- Managing all administrative processes including the issuing of joining instructions; maintaining accurate records and filing
- Ensuring all employees have the appropriate visa, medical, attestation, induction, and project specific requirements prior to mobilization
- Acting as logistics focal point for nominated project in relation to the movement of personnel
- Managing IT new starts / leavers process of personnel on project
- Preparing and sending out welcome / mobilization emails. Ensuring employees have the correct documentation
- Monitoring employee flight tickets, hotels, medicals, inductions, and visas due to expire to ensure validity is kept at all times
- Ensuring audit requirements are met for employee folders
- Handling all general mobilization/logistics queries
- Supporting HR for any requirements (e.g., inductions, job profile, competency assessment, and trainings)

Expected:
- A minimum of 5 years' experience in a similar role
- Strong knowledge of the visa processes as well as the documents required to obtain a work permit
- Extensive experience in Iraq and UAE visa processes
- Good communication skills
- Good command of English
- Good experience in coordination with different departments as well as new joiners
- Considerable knowledge of Microsoft Office
- Expertise in updating databases and trackers
- Understanding of the medical insurance enrollment and requirements
- Very good knowledge of the PRO daily work and good coordination with various typing transactions
