Job description / Role

Employment: Full Time

- Organize and administer the office related procurement, tag identity number for each office asset, allocate and distribute Office furniture, equipment, phones and other electronic machines like computer, printers etc and maintaining records for tractability.
- Manage and supervise acquisition, usage, allocation and storage of groceries and refreshments for office use and their replenishment.
- Manage and supervise purchase, receipt, issue and storage of stationery and office consumables and their replenishment.
- Review, approve printing requisitions like business cards, LPO books, letter heads etc and organize their receipt, issue, distribution and custody keeping.
- Responsible for maintaining newspaper subscriptions in the Office.
- Responsible to keep the P.O box keys and secure it from Drivers after collecting the letters/mails/couriers.
- Maintain and manage office utility services / telephone, water, electricity.
- Act as sole communication point between Etisalat/Du/ADDC and the Company in relation to the utility services. Check and approve monthly bills.
- Supervise and manage office cleaning activity.
- In charge of office master & spare keys control.
- Design office filing systems and ensure that they are maintained up to date.
- Manage record retention and transferring/shredding/disposing as per policies to ensure effective archiving of files and records.
- Maintains a portfolio of showrooms. Direct it’s leasing and forecast the rent based on market study.
- Ensure monthly rents are paid and all leasing activities are in accordance with policies and guidelines
- Provides information on operating costs as well as the annual budget for the property.
- Create and maintain strong relationship with suppliers and negotiating contracts, to be responsible for contracts close-up, extension and renewal.
- May work with vendors and customers to determine optimal inventory levels.
- Capable of resolving escalated issues arise from operations and require coordination with other departments.
- Undertaking daily contact with tenants and their representatives concerning any aspect of Rent and offering advice.
- Perform other related tasks as instructed.

Requirements

- Any relevant Degree and preferably in Management or accounting and
- Minimum of 5 years of experience in handling and managing vendors and supervise staff.
- Proper documentation of all the office items which is purchased.
- and efficient usage of Office assets to minimize cost.
- Proper coordination with vendors / suppliers and procurement of essential items on time.
