Office Administrator / Customer Service Assistant

Job description / Role

Employment: Full Time

Objectives:
• To undertake necessary administration tasks to support the functioning of the new Dubai office.
• To assist Operational and Customer service duties within the Middle East region as required.

Qualifications required:
• Reporting to: Marketing Director India- Middle East
• Subordinates: None
• Other interactions: Internal & External
• Number required: One
• Duration: Permanent
• Desired start date: TBC
• Probation: 3 Months
• Working Hours: 5 days per week - 35 hours
• Travel requirements: None

Main responsibilities:
• Office Administration
• Carry out various administrative tasks to support the functioning of the Dubai office.
• Operations and Depots
• Liaise with the depots to ensure that they achieve set performance indicators such as the turnaround times for estimates, lessee approvals and repair progress.
• Ensure equipment throughput in the depots is processed efficiently and cost effectively, meeting customer’s expectations
• liaising with the depots and customers on inspection/survey scheduling;
• Proactively work with customers to obtain repair approvals for off-hired containers according to set KPI checking and updating IT-systems
• Customer Service and Support
• Redelivery requests
• Queries on permitted monthly returns
• General off hire enquiries
• Unit inquiries
• Coordinate swaps
• Direct interchanges
• Total loss declaration
• Inventory/availability enquiries
• Coordinate bookings
• Create releases
• Follow up on expiring bookings
• Enquiries on billing/invoice
• Seaweb ID requests/usage.

Key Sills/Knowledge Required:-
• IT literate (Outlook, Word, Excel, Powerpoint, SAP)
• Good communication skills (verbal & written)
• Well versed in English language
• Good product knowledge of containers
• Good inter-personal skills
• Understanding cross cultural diversity

Qualifications Required;-
• Experience in office administration and/or Customer Service
• Experience in transport/logistics a benefit
• Commission / Bonus: Potential 7.5% Bonus
• Other Benefits: Health Care, Pension
