Job description / Role

Employment: Full Time

• Opens the office premise/lights/ventilations/TV before the arrival of staff.
• Attends the owner when he is present in the office, in terms of offering beverages and preparing the office for meetings.
• Supervise the cleaners (contracting company), ensure that the owner's office is cleaned properly, items in the office are arranged and free of dust, and check whether the plants are watered.
• Ensures pantry is clean, checks that the fridge/cupboard are arranged and trash is thrown away regularly.
• Replenishes the items in pantry- cutleries, water, coffee, tissues, etc.…
• Handles the key of stationery closets and ensure that is always locked; provide the supply as requested.
• Take inventory of office stationeries every first week of the month and reports to receptionists to order items.
• Checks the medicine cupboard- expiration and running out of supply.
• Change the printer cartridges.
• Mans the reception when the receptionist is not at the desk.
• Fetches files/records from their file- racks when desired by the staff.
• Puts away unwanted files/records back in their file-racks.
• Pick up and carry messages, documents, packages, and other items between offices or departments within an establishment or to other business concerns.
• Phones and calls for the maintenance staff to rectify the failure of electricity or any office machines.
• Overall office maintenance, cleaning the equipment’s, arranging the office things in order, outdoor deliveries, must be reliable and punctual.
• Filing of all documents (Company wise, document type wise, date wise) related to finance like Payment Vouchers, Journals, Receipts, bank reconciliation, sales invoice, daily sales summary (outlets), bank statements etc..
• Photocopying of supplier / party checks and other documents as and when required.
• Retrieval of documents as and when requested by the finance team.
• Helping in dispatching the box files to info fort.
• Runs minor everyday jobs for the staff.

Requirements

• Have a genuine desire to serve the staff and fulfill their needs and comfort.
• Have thorough knowledge of office procedures and systems.
• Have a good rapport with all the staff members.
• Very good communication skills
• Able to handle several tasks in the same time
