Job description / Role
Charterhouse is working with a boutique public relations company who is looking to hire an Office Coordinator to join their dynamic team in Dubai. This is an exciting opportunity to work with an expanding organisation.
The Office Coordinator’s responsibilities will be overseeing and managing the office, ensuring smooth operations, handling the facilities management, communicating with suppliers, maintaining upkeep of the office and ensuring the office is equipped with stock at all times. Additionally, this role will handle compliance, ensuring policies and procedures are compliant with the UAE Labor Law.
Duties will also include but are not limited to: managing front of house, greeting clients on arrival and ensuring they are welcomed into the business with a professional and personable manner, offering excellent customer service. The Office Coordinator will also answer all incoming calls and respond to enquiries, over the phone or by email. In addition to customer support, the role will sort filing and documentation on behalf of the team, as well as administrative support to team members where required.
The Office Coordinator will communicate with government offices to address legal or regulatory matters and coordinate with the team and authorities to ensure tasks are completed. This role will also provide assistance and recommendations for documentation related to corporate registrations, renewals, and other government-related paperwork as well as maintain records and ensure regular updates and follow-ups on renewals.
Requirements:
To be considered for the role, the successful candidate will have a minimum of 3 years administrative experience. The ideal candidate will have worked within Public Relations or the Luxury Space. In addition to exceptional customer service skills, the selected candidate must have excellent communication skills in English, both verbal and written. The successful candidate will already be residing in Dubai, ideally possessing UAE working experience and should be a highly motivated individual and eager to grow within an organisation.
