Operation / Administration Staff

Job description / Role

Position:

We are looking for a pro active Operation / Administration Staff to join our team and support our daily office procedures.

The duty does include but is not limited to below tasks:
- Coordinate with company subsidiaries regarding commercial and technical enquiries
- Prepare quotes, PO's, acknowledgement of orders & invoices in SAP and forward to clients and subsidiaries
- Coordinate with sales team, customers and suppliers about order details incl required documents and inspections
- Verify customer and order information
- Prepare shipping and supporting documents
- Check inventory in SAP to determine availability of material
- Liaise with customer, shipping agency and supplier about readiness of goods shipment collection, transport, delivery
- Maintain an accurate filing system
- Build customer relationship and handle/responded to customer's requests, queries & aftersales support
- Book supplier's (intercompany) invoice, debit and credit notes in SAP
- Book payments made and received in SAP
- Bill customer in SAP
- Send invoices & follow up with payments
- Manage customer and supplier accounts incl payment terms, credit limits
- Prepare monthly reports to be submitted to the Accounts Department(Order in-take, sales/turn-over, revenue, COGS, gross profit, etc)
