Job description / Role

Employment: Full Time

Accountable To:
To provide administrative support. The post holder will be required to work flexibly, in a rapidly developing office environment. It may be necessary to assist, or cover for, other staff from time to time.

Responsible for:

Operations Logistics Coordinator Obligations
• Acting with loyalty, honesty and good faith to the Authority
• including, but not limited to:
• The duty to exercise reasonable care and diligence.
• The duty not to make improper use of information;
• The duty not to make improper use of their position.
• Act appropriately, including but not limited to using Authority resources efficiently and effectively:
• Treating colleagues with courtesy, consideration and sensitivity;
• Treat other port users and members of the public with courtesy and in a professional manner;
• Being customer focused;
• Comply with any AD Ports policies and procedures as amended from time to time.
• Any work as reasonably directed by the Line manager as required provided it is safe to do so.
• Obtaining permission though the system from the Line manager before undertaking paid employment outside of that provided by the AD Ports. Refusals to grant permission will generally be for reasons of 'conflict of interest' or Occupational Safety and Health considerations.

The key duties of the post are as follows:
• Filing of department documentation and correspondence in/out
• Setting up and maintenance of filing systems as and when required as works progress
• Preparing documents and ensuring adherence to ADPC document control protocols
• MS Office – Word skills for general preparation of letters/forms; Assistance in developing editing PowerPoint presentations and Excel spread sheets.
• Preparing minutes of meeting and file notes.
• Managing customer files
• Arrange meetings, book and prepare meeting rooms and provide/arrange hospitality
• Represent unit at internal meetings related to corporate development ( CRM , Admin HR etc)
• Assisting / managing calendar of senior managers
• Coordinating business travel
• Coordinate on behalf of team with other ADPC departments ( Finance ; HR etc)

Key Internal Contacts:
• Ports Unit, Marine Services & Other AD Ports unit
• Liaison and coordination with internal departments and other divisions in AD Ports unit.
• Support the Pilotage Service Manager in day to day administrative related matters.
• Liaison with all corporate support divisions to efficiently execute the administration related tasks.

Objectives and Role Profile

In accordance with the individual’s knowledge and experience, provide assistance and advice for operational, technical and HSE/emergency response matters affecting the Port. Be available on call whilst in Abu Dhabi area, whether on duty or not, for any emergency involving the Port.

Qualifications/Experience/Competencies
Written and spoken English is necessary, Arabic is preferred
