Operations Manager (crude, oil products)

Job description / Role

Duties and Responsibilities:

Coordination of all operational, demurrage, cargo marine insurance and contractual matters from trade inception to contract completion

1. Serves as the point of contact for customers on contractual matters
2. Acts as contractual “middleman” between business unit traders and customers, ensuring timely drafting, editing, review and approval of purchasing and sales contracts
3. Resolves operational issues, related to purchasing and sales contracts
4. Obtains vessel acceptance from customers
5. Issues voyage orders to shipping/counter-parties and monitors progress of vessel, informing traders of any slippage and speed-ups in a timely manner
6. Issues nomination and documentary instructions to terminal and suppliers
7. Appoints approved inspectors as required
8. Verifies compliance between loaded cargoes and contracted terms
9. Ensures cargo loading and discharging adheres to any credit or L/C requirements
10. Assures any issued purchase confirmation/LoC complies with the forecasted operation
11. Upon receipt of financial guarantee issues release request to the financing institution and assures product released prior loading
12. Updates spread sheets for all tanker and train related information
13. Checks all calculations related to the trade (freight, demurrage, product, inspectors, gains/losses and insurance)
14. Minimizes profit leakage by negotiating with inspectors, customers’ demurrage departments and by controlling and optimizing contracts
15. Submits claims to suppliers or customers where necessary
16. Maintains accurate records of each cargo and contract including prompt and accurate filing
17. Maintains excellent HSE standards
18. Ensures compliance with all operational processes
19. Assists traders on various operational issues

Work Experience:
• Minimum of 3 years of relevant experience in international oil product trading, maritime logistics, or maritime law.

Technical Skills:
• Familiarity with chartering contracts for oil product transportation (Exxonvoy, Shellvoy, BPvoy, Asbatankvoy, and others).
• Experience in document management and contract handling in shipping and oil trading.
• Experience working with trading and logistics systems (IMOS, Veson Nautical, Softmar, RightShip, or similar platforms).
• Advanced MS Excel user – (VLOOKUP, pivot tables, Power Query, macros for expense analysis).

Personal Qualities and Soft Skills:
• Strong organizational skills and attention to detail – ensuring accuracy in calculations, documentation, and financial processes.
• Flexibility and ability to work in a multicultural environment – dealing with international counterparties and different legal systems.
• Ability to multitask – handling multiple commercial disputes with counterparties simultaneously.

Languages:
• English (B2 level) for communication with international partners.

CONDITIONS:
• Work schedule: office-based, 5/2, with availability to stay in constant contact with counterparties, company departments, and management 24/7, considering time zone differences.
