GLS DMCC, part of SCA Group, is looking for one Operations Specialist based in Dubai, UAE, or Bahrain. Due to the nature of this role, a high degree of flexibility is mandatory.

Scope of position:

Planning, monitoring and executing port visits from award to ship sailing for the Navy Customer. Ensuring both efficient and cost-effective support for vessels during their stay, and compliance within the contract guidelines.

Tasks and responsibilities:

- Prepare and communicate port visit service arrangements to the customer/agent taking into consideration the respective commercial strategy
- Master all contract terms and conditions.
- Identify and report potential commercial opportunities which arise during a port visit to the operations/area manager.
- Identify and report any port visit deficiencies or areas of improvement to the operations/area manager
- Work closely with local agents, ports, and suppliers ensuring contractual and operational compliance. Must maintain a proactive approach, identifying issues before they arise.
- Responsible for ensuring all contractual documentation for self- handled port visits are accurate and in line with the PWS (signed and stamped where applicable)
- LOGREQ Acknowledgement
- LOGREQ sent to Agent for COST services (including verification of costs and suppliers)
- LOGREQ Answer
- LOGREQ Approval
- SSS (maximum 1 day after departure)

- Verifying and tracking all contractual modifications for self-handled port visits, ensuring all approvals are incorporated up until the final modification is sent for invoicing.
- Attends some operations “on site” to monitor their proper conduct, boost the local agent, provide solutions and operational advice when needed. Always Promoting company philosophy and integrity.
- Assist operations manager in ensuring local agent and vendors are operating within HSSE guidelines of the respective ports and contracts, while ensuring to follow the same guidelines.
- Foster relationships with the client, port, agent, and all on-site stakeholders ensuring the highest standard of friendliness and customer service.
- Responsible for ensuring accurate filing by the admin team for self-handled port visits.
- Check and correct costs received for self-handled port visits prior to submission deadline to ensure Area manager/ops manager are quoting based on accurate costs.
- Checks all Disbursement accounts received from agents for self-handled port visits highlighting any discrepancies from quoted prices to the operations manager.
- Prepare accurate and detailed TDLs and ensure proper handover to weekend duty colleagues.
- Assume weekend duty role when assigned/required ensuring smooth operational continuity with no disruption to the customer. Handing over after weekend duty has ended in a professional manner.
