Job description / Role
We are looking for an experienced PA Secretary to the Managing Director, to provide administrative, secretarial and assistance support to the as a whole and contribute in ensuring timely, effective, efficient, and quality service.
Requirements
- Must have 2-3 yrs. of experience in this role.
- Ensure filing is kept up-to-date.
- Organize the upkeep of the working area, i.e., central filing system, reference materials etc.
- Deal with internal and external queries.
- Coordinating with the Suppliers in and out of UAE. As well know how to handle all the ranges of suppliers.
- Producing documents, briefing papers, reports and presentations.
- Screening phone calls, enquiries and requests and handling them appropriate.
- Ensure all telephone call queries are dealt with in a timely and efficient manner, including handling and forwarding queries when MD is out of the office.
Skills:
- Previous Secretarial/ Administration experience is desirable.
- PC qualifications with proficiency in Outlook, Word, Excel, PowerPoint, Photoshop, Acrobat and the Internet.
- Ability to deal with sensitive issues discretely and to handle confidential information appropriately
- Good interpersonal skills supported by exceptional verbal & written communication skills
- Driven and energetic individual
- Work unsupervised once briefed, efficiently and effectively in a demanding environment.
- Able to deal with highly confidential work.
- Able to meet deadlines and work under pressure.
- Flexibility in working hours if the workload requires; very organized.
- Good interpersonal skills
