Job description / Role

Employment: Full Time

• Provide high level of administrative support including filing and record management, compiling and preparing the data and preparation of presentations
• Liaise between CEO office and other functions by reviewing and recording all incoming correspondence and emails, including allocating, ?redirecting to appropriate offices for action and following up on the preparation of responses.
• Prepare the agenda and make the arrangements for the CEO office meetings
• Travel arrangements
• Ensure all outgoing correspondence, reports, submissions and briefings submitted ?to the CEO conform to the organization’s presentation, style, format and content ?protocols.?
• Overseeing the movement of files and documents both electronic and hard copy to ?and from the CEO’s office.?
• Handle personal tasks for the CEO.?
• Maintain office services including the cleaning services and stationary management through supervision of receptionist and office assistant
• Issue and renew the lease agreements, trade licenses in coordination with Legal Department and ensure necessary documentation has been given to PRO to avoid late renewals and penalties
• Apply for insurance for new locations
• Assisting team in obtaining necessary permits for promotions
• Ensure company registered vehicles are insured and registered, accordingly Salik accounts have been topped up for fleet vehicles
• Provide leadership and direction to subordinates towards the achievement of tasks.
• Guide and motivate subordinates to enhance performance and produce quality work
• Ensure teams are working in a safe environment

Requirements

• Professional Certificate/ Diploma, Advanced/Higher /Graduate Diploma, Bachelor's Degree/ Post Graduate Diploma/Professional Degree/ Secretarial/ Business Studies/Administration/Management or equivalent.
• At least 4-5 year(s) of working experience in the related field preferably as a Manager, Assistant Manager specializing in Secretarial/Executive & Personal Assistant or equivalent to a senior position in a high paced professional/international environment
• Should be presentable, fluent in English, knowledge of Arabic of advantage
• Excellent verbal and written communication skills
• Depth knowledge of Microsoft software
• Being able to set priorities
• Analytical and practical approach in problem solving
• Accurate report writing
• Quality and customer focus
• Able to respect and follow boundaries of being confidential and work with integrity.
