Job description / Role

Employment: Full Time

• Management of the MD’s diary and appointments
• Assist MD manage output, workflow, and office deadlines
• Take and relay accurate and timely messages from telephone callers, and answer queries where possible
• Collect and open all mail addressed to the MD
• Take minutes for all meetings
• Draft, type and dispatch all the MD’s correspondence
• Liaise with relevant individuals, external organizations etc. to arrange meetings, prepare agendas and draft minutes
• Organize all business and personal travelling of the MD and his family – monitor days of travel and stay per country
• Maintain a comprehensive filing system
• Tabulate and retrieve MD’s official expenditures and claims
• Arrange local transportation when necessary
• Conduct research, media relations and promotional work as requested
• Manage all private household maintenance contracts and payments (bills etc.)
• Accounts management (Quicken)
• Organize Conferences and Events
• Provide some support with office administration and team support
• Undertake any other duties as requested by the MD

Requirements

• A minimum of five plus years PA experience supporting senior level executive
• Shorthand and excellent typing skills - Excellent computer literacy, speed, and accuracy essential (MS Office, Excel, PowerPoint)
• Experience of working within an international environment, ideally international organization and/or multinational private sector
• Experience of dealing with different time zones
• Reliable and always maintain confidentiality
• Excellent organizational skills
• Excellent communication skills, both verbal and written
• Professional telephone manner
• Willingness to work in a multicultural environment
• Proven ability to work under pressure and to tight deadlines
• Bright, confident personality
• Well-presented
