Job description / Role
We are looking for a highly organised and proactive Personal Assistant to support a high-net-worth individual within a dynamic family environment. Based out of their Jumeirah Lakes Towers (JLT) office, the ideal candidate will play a pivotal role in managing both personal and family-related tasks, ensuring that the household and personal affairs run smoothly and efficiently. This role demands someone who can anticipate needs, juggle multiple responsibilities, and thrive in a fast-paced setting.
The primary responsibility of the Personal Assistant is managing the schedules and calendars of the family members, including appointments, coordinating children's activities, school events, extracurricular schedules, and managing household errands and special projects. Attention to detail is crucial as the candidate must ensure that all commitments are met without disrupting personal or family schedules. This role also includes travel coordination, where the assistant will be expected to arrange travel accommodation, flights, and detailed itineraries for both business and family trips, managing any last-minute changes and ensuring smooth logistics. In addition, handling legal travel documents such as visas will be an integral part of the job.
A significant aspect of the role involves household management. The assistant will oversee domestic staff, including hiring, training, and scheduling, and manage household maintenance by coordinating with contractors and vendors. Another key responsibility is keeping track of all household expenditures, maintaining detailed spreadsheets of expenses and receipts. Additionally, the candidate will be responsible for purchasing and delivering gifts for various occasions, ensuring thoughtful and timely delivery.
Event planning is another critical part of the role. From organising birthdays and holidays to handling social gatherings, the Personal Assistant will be expected to oversee every detail, from start to finish. They should have a solid understanding of dealing with event vendors and maintaining a directory of trusted suppliers for services such as flowers, catering, and entertainment.
Given the sensitive nature of the role, maintaining the highest level of discretion and confidentiality is a must. All interactions and tasks must be handled with professionalism, respect for privacy, and the utmost care.
Requirements:
- To be considered for this role, candidates must have proven experience as a Personal Assistant, preferably within a high-net-worth family environment.
- Strong organisational skills, the ability to manage multiple calendars simultaneously, and excellent communication skills—both written and verbal—are essential.
- The ideal candidate must be proficient in scheduling and organisational software, be willing to work flexible hours, and travel as needed.
- A valid driver’s license with a clean driving record is also required for this position and due to our clients requirements candidates must be fluent in Hindi.
