Job description / Role

Employment: Full Time

The Procurement & Contracts Manager is responsible for the purchasing strategy. The Procurement & Contracts Manager will work with the business to create a successful procurement plan and then execute it. The objective is to select the best suppliers for our business needs, negotiate agreements with these suppliers to meet requirements, manage the contracting process and then ensure the ongoing high-performance of these contracts.

My client are a global events and exhibitions solutions provider with regional offices in Dubai for their MENA operations.

Description

Main Duties & Responsibilities:

Procurement strategy

* Work with COO to set the procurement strategy for the company across a broad range of categories and supplier types
* Clearly articulate and communicate the vision for our procurement strategy across the company
* Ensure that the strategy is flexible enough to provide successful outcome across our diverse portfolio of shows
* Benchmark with other business units and with competitors to ensure we are getting the best value from our procurement strategy

Identifying and securing potential suppliers

* Spend time researching the vendor landscape to identify potential vendors
* Work with operations and show teams to understand their requirements for potential suppliers
* Write RFP documents that capture the requirements of the business and issue these RFPs to pre-qualified bidders
* Manage the end-to-end RFP process, including collecting of responses, setting up face-to-face meetings, providing feedback, answering questions, gathering stakeholder scores and then awarding/declining as appropriate
* When appropriate look to award contracts without a full RFP and create a robust process for procuring under these conditions

Commercial negotiations

* Wherever possible look to achieve win-win outcomes where our company achieves its objectives but suppliers are also able to make acceptable returns and provide the right quality of service
* Ensure that deals are best-in-market, which should be commensurate with our position as the market-leader in the Middle East

Partnership strategy

* Contribute to the partnership strategy and look for opportunities to improve the customer journey while supporting the partners
* Work with the Head of Partnerships and Experience Manager to identify gaps in the customer journey that can be filled through new supplier solutions
* Collaborate with COO, relevant team members and with the partners to integrate new supplier deals into the customer journey
* Propose innovative packages of supplier services that can be targeted to specific groups at our shows (e.g. VIP Arrivals, Influence Rewards, Hosted Buyer Services, Pavilion Packages, etc) as part of an overall effort to improve customer journeys

Account / Partner Management

* Support the Head of Partnerships with the management and coordination of our preferred suppliers
* Build and maintain strong partner relationships
* Partner retention
* Regular contact with existing partners
* On-site partner management to achieve high exhibitor satisfaction levels
* New partners
* Develop new experiential opportunities, through market research, telephone contact, industry networking and client meetings
* Liaise with the Marketing and Operations teams to ensure that all contractual terms are met from both parties
* Work proactively as a team member sharing ideas and contributing to the overall growth of the department

Contract performance

* Regularly review all contracts to ensure that they meet our requirements
* Conduct robust checks of all contracts to ensure that both company and the supplier are complying with all contractual items
* Examine and test existing contracts
* Perform risk management for supply contracts and agreements
* Track and report on commission rates and other contractual benefits

Compliance / legal / H&S / Sustainability

* Work closely with Group legal teams in the rafting, amending and agreeing of all contracts
* Adhere to all compliance requirements and monitor supplier performance to ensure they are meeting our requirements
* Collaborate with H&S teams to ensure supplier's meet and exceed our H&S requirements. Work with H&S team on remedial measures where necessary
* Be an active partner of the Sustainability team and look for supplier partnerships which support and enhance our sustainability initiatives

Job Offer

The Package on offer is:

* 20,000 AED - 25,000 AED depending on experience
* Expatriate benefits such as Flights, Bonus, Family Health care & Education

Requirements

The selected candidate MUST have experience within the Events & Exhibition industry & MUST have experience sourcing events equipment's & services in the UAE market.

Minimum Education Level:

* Educated to degree level or equivalent

Background Knowledge, Skills & Experience:

Essential

* Significant and successful experience in procurement role
* Experience in the trade show industry as an organiser or supplier to the industry
* Strong negotiation ability
* Excellent awareness of and strict adherence to the highest ethical standards
* Computer literate and proficient in the use of commonly used business software
* Able to influence without authority
* Effective verbal and written English communication skills
* Strong interpersonal skills
* Commercial awareness
* Attention to detail
* Numerate

Desirable

* Full understanding of event cycles
* Strong existing network of high-quality suppliers to the exhibition industry
* Experience of managing suppliers in the exhibition industry
* Relevant industry knowledge
