Job description / Role

Employment: Full Time

Reporting to the Commercial Manager, and working closely with the Partners, the Proposal Coordinator is responsible for the timely coordination, finalisation and complaint submission of pre-qualification questionnaires, capability statements, technical proposals and submission of financial proposals globally and creation of client presentations.

The Proposal Coordinator will also assist the Commercial Manager & Brand Manager with business development activities.

This role will also be required to support the wider Group as opportunities / requirements to present themselves.

RESPONSIBILITIES

PROPOSALS MANAGEMENT
• Create, coordinate, and format pre-qualification questionnaires and capability statements.
• Review RFPs for Client requirements and prepare briefing notes.
• Where required by the Scope of Service issue fee requests/proposals to sub-consultants, track responses and coordinate receipt to be incorporated into the Studio's Client submission.
• Coordinate the requirements with stakeholders and manage deadlines.
• Be responsible for the creation, coordination, and formatting of both Financial + Technical Proposals.
• Support the Commercial Manager + Senior Management with financial modelling.
• Issue proposals to Clients within the Clients before the Clients specified deadline.
• Ensure all documentation is consistent with internal branding guidelines.
• Assist in Managing the overall proposals action list in coordination with the Senior Management Team
• Write and / or edit new content as and when required.

MARKET RESEARCH / OPPORTUNITY ANALYSIS / BUSINESS DEVELOPMENT
• Conduct research into market condition, competitors, customers and suppliers.
• Analyse findings and provide detailed reports and recommendations.
• Update and maintain the CRM system with accurate Client + contact information.
• Attend industry events when required.
• Client liaison and coordination.
• Assist the Commercial Manager + Brand Manager with developing and implementing business development strategy.

QA/QC
• Be responsible for QA/QC relation to proposals proposal processes to ensure the studio is compliant with documented procedures.

OTHER
• Provide cover for the Commercial Assistant as and when required.
• Provide cover for the Proposal Coordinator (Vietnam) as and when required.
• May also perform special projects and other reasonable business-related duties as requested and delegated by the Commercial Manager or Senior Management.

Requirements

Essential
• Minimum of 2 years of experience in a similar position.
• International experience.

Desirable
• Experience working in geographically dispersed teams.
• Experience within the architecture / engineering sector or construction industry.
• International experience.

COMMUNICATION

Essential
• Strong professional interpersonal skills; ability to interact effectively with people at all organisational levels within the firm.
• Demonstrable writing, grammar and editing/proofreading skills.
• Must be highly proficient in both spoken and written English. Full professional efficiency at minimum.

TECHNOLOGY

Essential
• Experienced with Adobe InDesign.
• Knowledge of the Microsoft Office Suite, including Word, Outlook, and Excel.
