Job description / Role

Employment: Full Time

The Purchase Assistant is responsible for researching new vendors, tracking deliveries and updating order records (e.g. dates, invoices and discounts.). He/ she is to make cost-effective purchases and ensure the company maintains a fully stocked inventory.

Job Responsibilities
• Conduct administrative and support activities to keep the purchasing department running efficiently
• Monitoring stock levels, identifying purchasing needs, tracking order and ensuring timely delivery of materials and supply
• Manage and produce accurate formal reports in accordance with quantity of materials as per project requirements
• Build MR to be sent to the purchase department, liaise with production/store/ purchase
• Ensure the production team shares the MR on time to avoid any delays in material supply
• Reporting of additional MR and understand why we are buying more than planned, breakage, mistakes in first MR, quality issues
• Work with vendors to place orders for the products and raw materials needed as per project
• Assist and back up Purchase order processing of purchase department
• Assist and back up the Accounts team responsible for maintaining a well-organized and accurate Accounting function
• To manage day to day operations of the accounts department
• To manage accounts payable (bill payments, salaries, petty cash etc.) and receivable through cash / cheque / voucher in a timely manner
• To establish and maintain fiscal files and records to document transactions
• To maintain and reconcile cash and financial accounts
• To maintain spreadsheets for monitoring and analyzing accounting data and prepare financial reports
• To prepare table of accounts, assign entries to proper accounts to ensure proper accounting methods, principles and policies are being followed
• To complete and coordinate annual audits and provide recommendations for improving procedures and systems for initiating corrective actions
• To allocate cash to different departments/divisions and ensure that the direct staff complies with it
• To comply with ISO 9001 & ISO 14001 Policy and Procedures

Requirements

Job Skills and Qualification
• Minimum 2-3 years in accounting and/ or purchasing or procurement
• Diploma or any certificate course related to Accounting or Business Management
• Excellent organization and administrative skills with attention to detail
• Effective Oral and written communication skills
• Thorough knowledge and understanding of the accounting principles, practices, standards, and laws & regulations
• Thorough working knowledge of MS Office and accounting software and databases
• Proficiency in analyzing and manipulating huge volumes of data
• UAE Driving License preferred
