Purchase/Procurement Officer

Job description / Role

- Purchase or contract for supplies, services and equipment required by the company, within the limits of the current approved budget, and in accordance with procurement manual;
- Negotiate and execute contracts for the purchase of supplies, services and equipment;
- Act to procure for the company the needed quality in supplies, services and equipment at the best possible prices without any delays;
- Discourage uniform bidding and endeavor to obtain as full and open competition as possible on all purchases. As a best practice, it is advisable to obtain three quotation before any purchase of supplies, services and equipment.
- Maintain a bidders’ list, vendors’ file, and such other records as are needed for the efficient operation of the purchasing function.
- Build and maintain good relationships with the suppliers and vendors.
- Supervise the inspection of all supplies, services and equipment purchased to insure conformity with specifications ordered;
- Archive the purchase records for items bought, costs, deliveries and inventories in an arranged manner and be ready for procurement activities audit anytime.
- Keep a complete listing and record of all pending orders. Follow up for the pending orders with the vendors.
- On regular interval, perform stock count and perform a reconciliation between stock as per system and physical stock, and provide justification for differences identified, if any.
- Liaise with Accounts Dept. in relation to Purchase Order, Sales Contract and Payment Terms.

Requirements

- Bachelor Degree in Business / Economics/ logistics/ Supply Chain Management/ Operations Management/ Finance
- The candidate should have more than 5 years of experience in this field

- Knowledge of product, services, suppliers, market and economy
- The ability to comfortably talk about price
- Patience
