Job description / Role
Order Management
* Open and maintain Purchase and Sales Contract files
* Capture Sales Contract in SAP R/3
* Capture Profit Estimate in SAP R/3
* Close liaison with the Trader on all relevant Contract issues
Contracts
* Create, check and issue Purchase and Sales Contracts
* Evaluate and action any amendments required or requested
Documentary Credits/Documentation
* Ensure timely Documentary Letter of Credit opening (to Supplier and from Buyer)
* Request and follow up on any Deposits / Advance Payments due
* Liaise with Banking Dept on negotiation and presentation of Letter of Credit
* Receive and forward all shipping documentation
* Manage discrepant documentation in liaison with Banking Dept
Logistics
* Follow up on production status/co-ordinate with other Macsteel offices
* Follow up on vessel nomination/approval
* Follow up/communicate vessel’s schedule re L/C requirements
* Arrange load and disport inspections
* Liaise with Buyers/other Macsteel Offices with regards vessel progress / status
* Ensure proper Marine Insurance is in place
* Advise Buyers/Macsteel offices with regards insurance requirements
* Advise Buyers of production status and shipping intentions
Administration
* Liaise with Finance Dept on Contract Finalisation
* Inform Finance Dept of any pending Claims
Supplier/Customer Liaison
* Maintain regular dialogue with Suppliers / Buyers regarding production and shipping status on existing orders
Claim Management
* Arrange surveys, samples, video’s, photos as required
* Place Mill/Supplier on notice
* Follow up on settlement; chase/issue credit notes
Requirements
* At least 3 years Operational / Logistics experience in Steel products and shipping
* Thorough knowledge of documentation flow, letters of credit (incoming & outgoing), UCP 600 and of shipping & logistics
* Thorough understanding of Incoterms 2010 and shipping terminology
* Ability to work closely with Traders, as well as Banking & Finance Depts and to communicate with colleagues
* Ability to communicate with customers at all levels
* Accuracy and attention to detail extremely important
* Thorough knowledge/previous experience of SAP R/3
* Flexibility with regards working hours so as to meet the demands of the business.
