Job description / Role

Employment: Full Time

To provide competent secretarial and administrative support service for partners, managers and associates, to ensure the smooth running of their assigned work group and department.

Key responsibilities

The main responsibilities of the role are:

• To provide secretarial support to the Work Group using Filesite, Microsoft Word, E-mail, PowerPoint, and Excel;
• To create and amend high volume of documents, correspondence and e-mails, using audio dictation and manuscripts, to a high degree of accuracy and often to tight deadlines; tracking changes in completed documents using Track Changes;
• To open new files on system, together with preparation of case registration/client identification forms;
• To schedule meetings; taking calls from clients in associates’ absence; presenting a professional and courteous image to clients and other outside parties;
• To undertake partners billing on a monthly bases;
• To liaise with members of other departments to follow up on queries from associates, e.g. travel arrangements,billinginformation,documentssentfortranslation,filing,etc;
• To arrange travel and accommodation, t o prepare and send LPOs and to keep track of itineraries;
• To provide general administrative assistance - scanning, photocopying, filling in expense forms, etc;
• To file electronically e-mails and documents;
• To deal with e-mails during associate's absence from the office and to take appropriate action;
• An ad hoc internet research;
• To update client/contact database on Outlook as well as on InterAction;
• To dictate digitally using BigHand; and
• To cover for other team members when required and capacity allows.

Requirements

We are interested in candidates with:

• At least Diploma level education; a secretarial qualification/CILEX is desirable;
• At least 3 years+ of experience as a legal secretary in an international law firm;
• Near native English communication and interpersonal skills;
• An excellent IT-skills in MS Office; typing accurately above 50+ WPM
• Fast, accurate, audio typing experience and excellent attention to detail;
• Good organisation skills and the ability to meet tight deadlines; and
• The ability to work independently or as part of a team and carry out all duties with total confidentiality.
