Receptionist –Investment Firm | Dubai, DIFC
Location: Dubai International Financial Centre (DIFC) Industry: Investment Management Employment Type: Full-time, On-site

About the Role

We are seeking a polished, professional, and proactive Receptionist to be the face of an investment management firm based in the DIFC. This is a key front-of-house position within a dynamic and fast-paced financial environment, requiring exceptional communication skills, attention to detail, and a high level of discretion.

The ideal candidate will have prior experience in a corporate or financial services setting, with a service-oriented mindset and the ability to provide seamless support to both clients and internal teams.

Key Responsibilities
•Serve as the first point of contact for all visitors, clients, and partners, ensuring a professional and welcoming reception experience.
•Manage all incoming calls, emails, and correspondence with efficiency and discretion.
•Oversee meeting room scheduling, set-up, and refreshments for client and internal meetings.
•Coordinate courier services, deliveries, and office supplies to ensure smooth daily operations.
•Support administrative and operational tasks for the office management and executive teams as needed.
•Maintain a tidy and organised reception and meeting area, representing the firm’s high standards at all times.
•Liaise with building management and vendors to assist with facilities or maintenance requirements.
•Assist with travel bookings, visitor logistics, and expense coordination where required.

Requirements:

•Minimum of 2–4 years’ experience in a receptionist or front-office role within financial services, legal, or corporate environments.
•Excellent verbal and written communication skills in English.
•Immaculate presentation and a confident, client-facing manner.
•Strong organisational skills with the ability to multitask and prioritise.
•Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable with digital scheduling systems.
•Discreet, reliable, and professional — with a calm demeanour and positive attitude.
