A diversified local company in Abu Dhabi is currently recruiting for a UAE National –Registrar. You will be reporting directly to the Collections Management Manager

The Registrar is responsible for managing the movement and organization of Museum works of art, including accurate record keeping and tracking of all Museum objects in a collection management database. He / She manages both administrative and logistics aspects of transporting and tracking works of art within, to and from the company’s museum, including the implementation and compliance of risk management policies and procedures.

Responsible for:
- Movement, management and record keeping of Museum objects and works of art

Internal Communication:
- Communicating and working closely with curatorial, conservation, loans and exhibitions, acquisitions, and other Collections Management departments and staff

External Communication:
- Liaising with external entities, including but not limited to: other museums, donors, institutional and private lenders, shippers and craters, insurance providers, custom brokers, and the general public.

Key Responsibilities/Duties

Managerial Role:
- Communicate Museum, Directorate and Departmental decisions to employees;
- Train and supervise the positions which support the registration activities, including but not limited to the Registrar Assistant, on-call support, interns or volunteers;
- Provide direction and manage employees in the section in performing their delegated tasks;
- Performance management, career development guidance, setting objectives and KPI’s of their direct reports and ensuring the development of all employees within the unit (in coordination with the Human Resources Department);
- Define metrics for the measurement of the success of registration processes, analyse data collected to determine the success of past and current registration activities, and apply recommendations to ensure the design and implementation of process improvements that meet the unit’s goals;
- Ensure that the performance of various tasks and the conduct of the staff in the unit are in accordance with the policies and procedures of the companyi;
- Prepare reports on the overall performance of the unit for the Collections Management Manager;
- Develop and manage the unit budget for input to the Collections Management Manager.

Organizational Role:
- Interpret and carry out the programmes and objectives developed by top management;
- Establish unit goals, methods, policies and procedures for implementing programmes in alignment with the Sector and Authority’s strategic vision, mission and goals;
- Working with the Collections Management Manager, develop medium and long-term strategic plans of the unit in accordance with the vision, mission and strategic goals of thecompanyi;
- Create an operational plan, including budget requirements with complete substantiation and justifications, and submit the plan to the Collections Management Manager within the requested timeframe.
- Review project proposals and plans, collaborating with Collections Management Manager on future storage expansion planning as related to storage of Collection;
- Establish unit plans which project funding, feasibility, staffing, and time constraints of the unit, ensuring the availability of required resources to carry out all the tasks related to the Registration tasks of the museum (in coordination with HR Department);
- Identify the technology needs that ensure the unit’s processes and safeguards are performed efficiently and cost effectively (in coordination with IT Department).

Functional Role:
- Coordinates shipping of art works to and from, national and international lenders/borrowers;
- Ensures safe packing and creating rules in accordance with conservation requirements;
- Coordinates actions with customs agents and brokers to procure security and customs permits;
- Determines insurance policy and indemnity coverage general policy;
- Defines operational objectives for his/her service;
- Works collaboratively with his/her direct reports to achieve efficient management and tracking of all museum objects in the collection management database system (TMS);
- Ensures coherence with other Departments by communicating and reporting facts in a transversal way or directly to the Collections Management Manager;
- Ensures the implementation of the Transfer of Knowledge policy;
- Any other duties and projects, as assigned by line manager or superior.

- Operational plan submitted to the Collections Management Manager, within the required timeframe and with complete budgetary substantiation and justifications.
- Performance appraisals conducted and submitted on time;
- Training hours per person per year in line with annual minimum training hour requirements; Employee satisfaction index.
- Vendor issues are dealt with within pre- set SLA timeframe;
- Contracts are managed within budget.
- Quality of functions provided;
- Compliance of functions to set policies and guidelines;
- Number of problems/gaps identified and resolved within established SLA timeline.

Preferred:
- Graduate Degree [First cycle, Bachelor] in Art History, Museum Studies or closely related field;
- Post Graduate Degree [Second cycle; Master, or higher] is preferred but not required.
- 4-8 years of experience in art museum registration, with collection and supervisory experience essential;
- Proven experience in managing administrative, logistic, and financial data and business processes;
- International packing, shipping and budgeting experience
