Job description / Role

Employment: Full Time

The role is a resource management and workforce planning specialist who activates the day to day operations of the Experience Management (XM) function. Their role is to ensure we maximise business performance and deliver on our talent promise through proactive management of their talent pool. This is obtained by;

• Allocating the right people, to the right role, at the right time
• Supporting project demand prioritisation and supply augmentation
• Identifying and providing insight in regards to workforce planning and skills, capability and trends

The successful candidate will be part of the regional XM team and acts as the key contact for the talent pools strategic experienceallocation and capacity management.

The candidate will be using their specialist knowledge and relationships to ensure we maximise productivity and develop our talent through their on the job experiences.

Core Responsibilities

• Stakeholder Management – Responsible for managing key relationships within the talent pool
• Pipeline & Demand management – Ensuring direct connectivity between pursuits teams and the experiencemanager
• Talent pool management & experience optimisation – Actively managing bench, available capacity by understanding capability and proactively identifying opportunities for all available resources
• Experience optimisation – Highlighting capability outside the home talent pool via cross-functional, cross-border or cross-region allocation to maximise productivity
• Experience management – Promoting identification and delivery of career experiences as part of every engagement
• Leakage management and data quality – Ensuring ubiquitous and effective use of key enablers and data quality that supports rapid decisions
• EYU & Development – Building individual capability and personal brand through a detailed development plan that deliver the learning, coaching and experiences needed to grow
• Continuous improvement – Supporting roll out of initiatives on behalf of the resourcing leader and identifying opportunities to improve team performance

Requirements

Qualifications & Experience

Essential
• Experience with experience management and planning or business operations within professional services environments
• Refined relationship and stakeholder management skills
• Strong knowledge of business systems and refined data analysis skills
• Experience working closely with colleagues in a high-performing team

Winning in the Market

Stakeholder Management:

• Manage Market / SSL / Competency relationships
• Regular Stakeholder meetings
• Cultivate new relationships (influencers, Champions. Communities etc)

Pipeline & Demand Management:

• Involvement in relevant pipeline meetings
• Involvement in relevant commit calls
• Follow-up on all current Pursue & Closing opps
• Escalate instances where Ops resourced outside RM team
• Ensure past due opportunities are followed up on
• Manage account resourcing as required
• Support business development allocation
• Ensure all opportunities are in the engagement tracker
• Ensure all overdue opportunities in tracker are closed or escalated

High Performing Teams:

Team Management:

• Attend Regional Team meetings
• Gather regular feedback
• Contribute to development of knowledge & collaboration sites
• Be involved in regional and area project initiatives
• Build relationships with other internal functions (recruit,HRBP, learning)
• Update leave & activities in team calendar
• Ensure CS staff are effectively on boarded RM processes and enablers

Experience Management:

• Speak with Talent pool about desired experiences
• Identify opportunities to develop staff through experiences
• Discuss development / experience opportunities in each allocation
• Support roll out of Experience Management initiatives
• Speak to Talent pool about whether experiences were delivered

EYU & Development

• Identify personal learning and coaching needs
• Create a personal EYU development plan
• Attend relevant training and seek out experiences
• Be involved in mentor / mentee or counselee / counsellor relationships

Reports

Regional reporting :
• Create ACG Connect Packs
• Maintain Engagement / Request Tracker

Operations

Talent pool management

• Identify and speak to all available talent
• Identify and speak to all talent rolling off projects
• Identify and speak to all unconfirmed closing and tentative jobs
• Ensure all individuals put on shortlist are contacted to advise
• Ensure all individuals not placed from shortlist are contacted to advise
• Make schedule changes directly where identified during phone conversations

Resource Optimisation

• Attend Operational meetings for talent pool and highlight supply & demand
• Attend team meeting(i.e.ACG connect) for relevant groups
• Proactively seek out opportunities for available talent
• Proactively highlight available talent cross-competency or cross-geo
• Highlight demand challenged to RM lead
• Highlight leverage challenged to RM lead & recruitment
• Ensure close relationships between Resourcing & Recruitment
• Highlight utilisation challenges for individuals to counsellors
• Identify opportunities to increase use of GTH

Continuous Improvement

• Follow Resourcing principles and guidelines
• Escalate instances where principles & guidelines are not followed
• Follow the new resourcing & escalation process completely in all instances
• Complete escalation checklist in case of conflict
• Support process improvement initiatives on behalf of region
• Proactively highlight opportunities to improve team operations

Quality

Leakage Management

• Follow up on large individual variances
• Follow up on un-opened codes/ACTBO
• Follow up on reversed hours & escalate where necessary
• Ensure partner time is scheduled
• Ensure Risk annuity work is booked in advance

Data quality & enablers

• Ensure all new hired complete My Competencies profiles
• Ensure all new hires completed People Profile CV upload
• Ensure all CRM past due opportunities are followed up on
