Job description / Role
We are seeking a highly organized and detail-oriented Secretary to provide administrative support in our Ras Al Khaimah office. The ideal candidate will be responsible for managing office tasks, ensuring efficient communication, and facilitating smooth operations. This role requires excellent interpersonal skills, proficiency in office software, and the ability to handle multiple responsibilities in a fast-paced environment. The Secretary will play a crucial role in maintaining a professional office atmosphere and enhancing productivity across teams.
Responsibilities:
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and distribute correspondence, reports, and presentations as needed.
- Handle incoming calls and emails, directing them to the appropriate personnel and responding to inquiries in a timely manner.
- Organize and maintain office files, records, and databases, ensuring information is accessible and up to date.
- Assist in the preparation of meetings, including scheduling, agenda creation, and minute-taking.
- Coordinate office activities and events, including team-building exercises and training sessions.
- Support the finance department with invoicing, expense tracking, and budget management.
- Take initiative in improving office processes and procedures to enhance overall efficiency.
- Maintain inventory of office supplies and place orders as necessary.
- Serve as a point of contact for internal and external stakeholders, fostering positive relationships and communication.
Requirements:
- Proven experience as a Secretary or in a similar administrative role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills in English; proficiency in Arabic is a plus.
- Demonstrated ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and collaboratively in a team environment.
- A high degree of professionalism and a proactive attitude.
- Bachelor's degree in Business Administration or a relevant field is preferred.
- Experience in a multicultural environment is an advantage.
