Job description / Role
Responsibilities
- Manage the executive's calendar, prioritizing appointments and meetings to optimize their time and productivity.
- Act as the primary point of contact for internal and external communications, ensuring messages are relayed efficiently and effectively.
- Prepare and organize meeting agendas, taking detailed minutes, and following up on action items to ensure completion.
- Conduct research and compile reports or presentations to support decision-making processes and strategic planning.
- Coordinate travel arrangements, including itineraries, accommodations, and transportation, to ensure seamless experiences.
- Handle confidential information with discretion, maintaining the highest level of integrity and professionalism.
- Assist in project management by tracking deadlines, budgets, and deliverables, providing updates to stakeholders as necessary.
- Facilitate office organization, including filing systems and supplies management, to maintain a productive work environment.
- Develop and implement administrative processes that enhance efficiency and streamline office operations.
- Support financial activities such as expense tracking and invoice processing, ensuring accuracy and compliance.
Desired Candidate Profile
- Minimum of a high school diploma, with a preference for candidates holding a bachelor's degree in business administration or a related field.
- At least 2 years of relevant experience in administrative or executive support roles in a corporate environment.
- Proficiency in office software such as Microsoft Office Suite and project management tools for effective task management.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously while maintaining attention to detail.
- Exceptional verbal and written communication skills, including professional email etiquette and report writing.
- Fluency in English is required, with additional language skills being a significant advantage in diverse environments.
- Demonstrated ability to work independently and as part of a team, showcasing flexibility and adaptability in dynamic situations.
- Cultural sensitivity and the ability to work with diverse teams across various regions and backgrounds.
- A proactive, resourceful attitude with a strong commitment to professionalism and service excellence.
