Job description / Role

We are a recruitment/staffing agency catering to the Events Industry. This is an in-house role.

Strategy and Processes
• Working with partners regarding all strategic matters including discussions and roll out
• Draw out, implement, maintain and develop processes for all verticals in the company
• Flag systems that are presenting bottle necks and propose solutions to ensure smooth operations
• Rollout new processes and address/give solutions for issues to be resolved
• Assists senior management in planning structural and operational workflow
• Identify and address problems and opportunities for the company
• Support staff communication with the management team

Client Relationships/Strategic Partnerships
• Build strong relationship with large private clients and governmental clients
• Support partners in business development actions
• Assist Project Manager in obtaining PO’s from governmental
• Build alliances and partnerships with other organizations
• Proposes commercial initiatives for the Partners by bringing partners on board for outsourcing, various projects etc.
• Draft up terms and contracts related to the above

Company Documentation
• Manage licenses, opening branch offices, renewals etc
• Oversee all internal staff visa applications and oversee on-boarding process
• Troubleshoot issues related to licensing and visas

Procurement
• Register Event Lab with government procurement portals
• Lead responses to RFP’s and tenders upto confirmation and handing over to PM to deliver
• Negotiate rate, terms and conditions and fulfill all procurement requirements
• Procure all relevant documents in order to sign up as a supplier
• Being main point of contact to handle all issues with Big clients

Project Tracking
• Conduct regular meetings for PO updates with the resourcing team
• Help decrease Overdue PO’s by regular updates/meeting of Project Tracker
• Help decrease Pending PO’s by regular updates/meeting of Project Tracker

HR Outsourcing
• Manage rates, negotiations, systems and processes related to outsourcing
• Assist the Project Manager for quoting and on-boarding outsourced staff
• Manage the HR coordinator for on-boarding, visa, payroll, insurance, off-boarding etc
• Handle all escalations

Internal HR
• Assist in finalizing JD’s and rolling our offer letters
• Manages all internal ministry of labour and immigration related processes
• Oversee managing of internal staff files, leave trackers etc

Finance
• Assist finance in any vastly overdue receivables
• Ensure budget sheets are accurate and discuss escalations with PM’s
• Monitor the Freelancer PO and Client invoicing process to ensure smooth operations related to all bookings
• Manage internal medical insurance renewals
• Provide input on choosing Workmen’s compensation, Professional Indemnity, Public Liability, Property Insurance and other relevant insurances

Legal
• Draft new agreements
• Review contracts
• Meet, discuss and finalise contracts with clients
• Liaise with external legal counsel for major matters
• Carry out all tasks related to MOA, POA’s, government documents etc
• Advise all members of the team regarding the local labour laws, visa processes/requirements etc
• Keep up to date with information regarding all UAE laws

Requirements

• Prior experience in the recruitment industry and/or event industry
• At least 10 years’ experience with minimum 2 years in operational and client facing roles
• At least 3 years’ experience in the UAE
• A Bachelor’s degree (preferably in human resources or business management
• Understanding of general finance and budgeting, including profit and loss, balance sheet and cash-flow management
• Strong leadership qualities, business acumen and a strong work ethic
• Ability to build consensus and relationships among managers, partners, and employees
• Excellent oral and written communication skills
• Ability to be flexible and adapt to a fast-paced work environment within a rapidly growing team
• Highly organized and meticulous with attention to detail
• Excellent with Microsoft word, excel and PowerPoint
• Knowledge in Google suite of systems
• Tech savvy
• Available to start immediately (preferred)
