Job Title: Supervisor

Accountable To:
The Supervisor - Documentation is responsible for monitoring of processes for transportation billing documents listing details of freight shipped by carrier. Verifies information on manifest, such as name of shipper, weight, destination, and charges from bills of lading and shipper's declaration. Computes totals of document items, using adding machine. Compares figures and totals on documents with statement of accounts submitted by accounting department to verify accuracy of documents. Resolves discrepancies on accounting records or manifest.

Responsible for

Core Responsibilities:
• High standard of knowledge and understanding of Finance Revenue policies and procedures.
• Verifies and processes various types of Customs Bills i.e. Import, Export Bills.
• Ensures that documentation counter staff collect and apply relevant Port Charges for Cargo handling, break bulk, general cargo or customer’s requested services as per tariff or TER and accordingly with issuance of Receipt/Credit Receipt to customers.
• Ensure the accuracy of collection against the Collection Report, to be handed over to the Head Cashier at the end of duty.
• Updating the Express Manifest, if required.
• Process Credit Note/Refund request for excess invoicing/collection or for unutilized service paid.
• Responsible for all finalization of Credit Receipts after checking and ensuring the correctness of port charges for billing/invoice generation.
• Liaise with Operations Department, Finance Department for some clarification/ problems related to all collections and billing.
• Liaise with Commercial Dept. for required calculation or verification of data/info/document.
• Preparation and distribution of Weekly and monthly KPI reports for submission to Superintendent – Operations Support.
• Performs other functions as may be directed by the Manager and Superintendent, Operations Support.

People Management Responsibilities:
• Control Staff’s attendance, prepare duty roster and conduct annual appraisal.
• Monitor productivity of staff, providing training for new and existing staff.
• Ensure sufficient tools, software and facilities are in place to create uninterrupted working environment.
