Job description / Role

Employment: Full Time

- Send Updated Order Forms to Customers
- Monthly confirmation from planners on all order forms before sharing with customer and in case of any changes requested ensure this is reflected along with feasible dates in the revised OF that will be shared with the customer on a monthly basis.
- Verify and ensure the completion of standard requirements of the orders received from Customers (Fit for Use Template).
- Ensuring timely and accurate order creation and communication of order confirmations to the customers, plants and forwarders as per SLA
- Get advance confirmation from plants on product availability and loading dates, if issues, raise to market planner accordingly
- Timely communication and alignment with the customers if there are any changes in the original order (changes in products, quantity, loading dates, etc)
- Communication of order amendment requests that come from customers or internally initiated by category or source teams after assigning correct reason codes to OM analyst and ensuring that this is reflected correctly on SAP.
- CFR confirmation with planners on a weekly basis and uploading of the data to cockpit.
- Communication of order delays to COT and customer as required.
- Assign correct reason codes for root cause analysis on all KPI's
- Reporting of shortages to customers on a weekly basis.
- Coordinate with all source plant/DC to ensure compliance of Revenue Recognition and monthly cut-off procedures in line with SAP (ICI/Shipment confirmation, Booking on time)?
- Ensure correct shipping documents are sent on time by forwarders/plants to customers.
- COC tracking and wrong documentation trackers to be timely updated and shared with all key contacts and thus should ensure that all documents are ready on time.
- Issue insurance/inspection certifications as per customer requirement.
- Maintain and carry forward / cancel open orders after agreeing the same with the Distributor and only after alignment with MDO/plants/forwarders.
- Co-ordinates issues related to short/excess/damaged shipments with Logistic / Plant/ MDO and Distributor.
- Credit extension documents are created and shared with the F&A contact for Steam submission as and when required.
- Co-ordinates with MDO to provide all relevant approved documents (steam) relating to price adjustment and qty. corrections (short/excess/damaged) for issuance of credit/debit notes to the Distributor.
- Enhance productivity of Order Management by identifying simplification ideas and ensure timely implementation with Key User Support.
- Updation of legalization matrix, market sheet and shipping instructions as and when any changes happen.
- Any other task required based on business requirement.

Requirements

- University Qualifications: Bachelors
- Nature and length of previous experience: 3 yrs minimum experience as a supply chain analyst
- Specialist knowledge: working knowledge on SAP
- Soft Skills and Personality traits: good communicator and working on Excel
