Job description / Role

Employment: Full Time

The Company
Robert Half is currently working with a large education provider based in Abu Dhabi in order to hire a Support Services Manager for their highly skilled team.


Duties and Responsibilities:

Governance and accountability
* Reviews and/or develops policies related to finance, procurement, human resource, information technology and operations
* Recommends improvement to operational processes, procedures, work flow, and/or standards
* Provides routinary and ad hoc reports as needed by school management, school operator, and ADEK
* Always ensures compliance with the delegation of authority
* Identifies and monitors KPIs set by ADEK
* Leads regular team meetings; provides guidance, training and performance reviews to the team members
* Attending and/or presenting to oversight committee (OSC) meetings
* Prepares OSC resolutions and circulates for approval by the OSC members
* Monitors OSC action plans and updates
* Filing of all OSC resolutions and minutes of meetings
* Reviews and/or assists in clearing audit comments

Finance
* Reviews and/or assists the annual budget preparation, forecasts, budget-actual reports, financial statements
* Reviews payments related to operating and capital expenditures (with 3-way matching) and employee remunerations
* Reviews bank and petty cash reconciliations and replenishment
* Reviews invoices for funding
* Reviews system entries prior to posting

Procurement
* Reviews and/or assists in tendering process (i.e., bid invitations to various suppliers) and further negotiations
* Reviews contracts/variations and coordination with legal department
* Reviews purchase orders and the related documents from all departments
* Approves enrolment of new suppliers
* Manages warranty claims
* Reviews and/or assists in developing cost-saving plans

Human Resource
* Reviews payroll, advances and other requests and other remunerations
* Reviews and/or assist in developing the annual recruitment plan and monitors subsequent updates
* Monitors and/or coordinates with agencies for the therapists' DOH licensing requirements and malpractice insurance
* Reviews offer letters and monitors the hiring process and updates
* Reviews quotes related to medical insurance renewal

Information Technology
* Monitors IT asset management and related documentations (additions, disposals, transfers).
* Ensures compliance with government agencies regarding data security of medical records
* Leads the implementation of new systems
* Reviews IT incident reports and requirements and review proposed action plans in coordination with procurement

Operations
* Monitors asset management and related documentations (additions, disposals, transfers).
* Ensures compliance with government agencies and licenses are valid/renewed
* Monitors complete coverage of general insurances
* Manages general insurance claims
* Monitors facility management and health/safety reports and review proposed action plans in coordination with procurement and finance

Requirements

The Candidate

Essential requirements:
* Bachelor's degree in education, Business Administration, or relevant degree
* 10 years of experience in a similar role in a school or facilities environment
* Excellent background in the field of Finance and or HR
* Good experience in drafting/reviewing policies
* Supervisory principles
* Experience in working closely with Ministry of Education (ADEK)

Desirable:
* Excellent Microsoft Office skills
* Big 4 experience is a plus
