Talent & Culture Admin

Talent & Culture Admin will act as the first point of contact to employees and external partners for all Talent & Culture related queries. Talent & Culture Admin will maintain and update employee records, as well as manage various Talent & Culture documents, tracking records and internal databases.

What you will be doing:

Reporting to the Cluster Talent & Culture Manager, responsibilities and essential job functions include but are not limited to the following:

- Assisting the Talent & Culture Manager in the daily administration tasks.
- Maintain a confidential filling system for Heartists' files, records, trackers and documents, and ensure its adherence to the company's standards.
- Follow up with the Talent & Culture team on the HR audit administration process to ensure that the department policies and procedures are in line with the ACCOR audit standards.
- Daily check of Cafeteria, Notice Board & locker rooms and report maintenance in need immediately.
- Assist new joiners to open bank account.
- To keep an updated Master list and required system.
- Deliver the necessary documents to be signed by the concerned departments.
- Handle all Talent & Culture office supplies, maintain an up to date, accurate inventory of the T&C storage room.
- Ensure employee birthdays are shared timely.
- National Day celebrations.
- Handle the majority of employee documentation, including contracts, recruitment paperwork, promotion and new joiner welcome packs.
- Compose correspondence for the Talent & Culture Manager, such as letters, contracts, etc.
- Handle lockers' requests, name tags, ID's, colleagues' letters, purchase & store requisitions, expense reports as necessary.
- To ensure first aid supplies in the Talent & Culture office is replenished timely.
- Assist Heartists with inquiries related to vacation, flight booking arrangements etc.
- Handle all office administration duties such as mail, phones, photocopying and office supplies.
- Support internal T&C projects, tracking necessary action and updating reports as progress is made.
- Assist with and support Heartists' events and employees' relations matters.
- Assist the HR team in the logistics of a variety of recreational programs and activities for the Heartists (i.e. departmental outings, fun days, mall trips, sports
- Tournaments, karaoke, hotel beach cleanups, national day celebrations, fundraising events, etc.)
- Maintain all communication boards on a daily basis to ensure it's complying with ACCOR standards.
- Consistently offer professional, friendly and engaging service to colleagues and leaders.
- Redirect Talent & Culture related calls or distribute correspondence to the appropriate person of the team
- Assist with other Talent & Culture functions and tasks as required.
- Ensure the office is kept tidy and clean at all times.

Requirements

Your experience and skills include:

- Computer literate in Microsoft Window applications required.
- English fluency is required.
- Mature, enthusiastic and energetic with proven abilities to creatively resolve issues
- Organized, energetic, creative and professional with strong leadership skills.
- Able to multi-task and communicate effectively.
- Able to work in a fast-paced environment, inviting and championing change.
- Able to effectively and positively manage challenging situations.
- Must be detail-oriented, highly organized and self-directed.
- Able to build effective relationships with peers, colleagues and suppliers
- Team player with strong initiative and self-direction
- Strong Communication skills.
