Temporary Administrative Coordinator, Dubai

An award winning, modern and functional art gallery based in the heart of the Design District in Dubai are seeking a Temporary Administrative Coordinator to ensure that all tasks are completed in a timely manner and to assist the galleries’ clientele. There is a strong focus on the administrative tasks and as such the customer service side of the role is minimal. The operating hours are Saturday- Thursday (closed Friday), 11am- 7pm and the successful candidate will therefore be required to work each Saturday, but will have an additional day off in the week alongside Friday. It is also essential that you are sponsored by a family member or your spouse.

As the sole person remaining constantly at the gallery location you should be self-motivated and able to work alone as the Director is often out attending client meetings. You will assist her with all diary management and timelines, ensure the client list is constantly updated and you will be the first point of contact for all queries in person or via telephone and email. Additional duties will include processing and checking of invoices; prior to passing them to the Accountant, liaising with the D3 management, coordinating domestic staff and printing and filing of documents. The gallery space is also rented out for exhibitions and events, so the successful candidate will also ensure that these queries are handled efficiently.

Requirements

In order to be selected for this role it is essential that you able to work the hours required and be sponsored by an appropriate family member or spouse. An interest in art and architectural design is advantageous as is experience in indesign, illustrator and photoshop programmes. However, most important is the ability to work autonomously and provide support to the Director with all operational and administrative tasks.
