Job description / Role

Employment: Full Time

Key purpose
Support the Transport Lead Administrator to effectively execute tasks such as driver allocation, leased asset management, record keeping, compilation and issuance of reports. Also responsible for working autonomously on a shift basis and providing instructions and guidance to the driver pool as required.

Structure and reporting relationship
The Transport Administrator shall report directly to the Asset & Transport Team Leader who reports to the Fleet Transportation & Asset Supervisor.

Key accountabilities
• Compiling of reports
• Record keeping
• Data collection
• Disbursement of work orders to the driver fleet
• Collection of completed work orders from the driver fleet
• Monitoring asset hire service due dates and arranging the bookings as required
• Allocation of jobs to the driver pool and liaising with the client as required
• Carry out all other duties as directed by the line management to the benefit of the Serco FM services to the Client.

Requirements

Knowledge
• Minimum 2 years’ experience as an administrator in an operational environment.
• Possess valid UAE driving license grade 3 (light vehicle)
• Intermediate skills with MS office tools
• Must be able to communicate in English (verbal, reading & writing), Arabic an advantage

Skills
• Be courteous and respectful providing customer service excellence
• Excellent customer service communication skills
• Able to work under stringent deadlines and high pressure environment

Experience
• Experience operating in an autonomous capacity
• Experience with shift working
• Customer Service experience
• Good communication and interpersonal skills at an individual and team level.
• Knowledge of the property and facility management sector
• Technical knowledge of building services operations an advantage
• Experience in use of Maximo or CAFM system an advantage

Additional / special features of the role
• Ensure compliance with the Serco Management System and all relevant business processes, procedures and work instructions to deliver all work with appropriate quality and governance standards
• Ensure security and integrity of all data provided including reporting performance, finance and customer information; reference Serco non-disclosure policy
• To exercise personal duty of care for their own health, safety and welfare and for those affected by their acts or omissions; reference SMS GSOP-HSE1-6 Serco organisational HSE responsibilities
• Ensure compliance with all training requirements of Serco and ensure adherence to these requirements at all times whilst in employment
• Report any accidents, incidents, breaches or potential breaches to appropriate management or the speak up process
