Job description / Role

Employment: Full Time

Job overview: To ensure a smooth and efficient operation in the Soft Services Department in relation to the Company Core Process and the management of Uniforms; thus directly impacting on the Colleague and Guest experience.

This position oversees the design, procurement, maintenance and inventory of uniforms across Farah business units ensuring that Colleagues look representative and look and feel of the uniforms meets brand IP standards. In addition, the incumbent reviews laundry distribution processes and procedures and where applicable recommends improvements. It is responsible for continuous development and implementation of improvement of processes through innovation and ownership. It ensures that company receives the best possible service from suppliers at reasonable cost.

Job Scope:

UNIFORM
- Review uniform requirements across business units to identify ranges/areas that require custom design versus areas for which off-shelf uniform procurement is an option
- Look for economy of scales by combining requirements from various business units wherever possible while maintaining brand IP requirements.
- Sourcing of uniform designs to suit operational, IP brand trends and any other needs and review of designs to ensure functionality and alignment with brand IP
- Managing the approval process for uniform designs by involving in-house decision makers as well as IP owners
- Upkeep of a uniform look-book for all approved uniforms including detailed design specifications
- Liaise with procurement to source uniform suppliers and negotiate contracts and quality terms to suit business requirements
- Review any supplier contracts to ensure best terms for Farah across all entities keeping in mind strict brand and quality guideline
- Review and recommend production requirements in terms of fabric composition, colors etc.
- Review and approve production samples involving brand IP owners
- Initiate test washing and other standard test to production samples and review results to confirm the samples meet requirements
- Liaise with uniform supplier/s for any uniform re-order requirements and/or for any unresolved delivery discrepancy or quality issues.
- Receive uniforms ensuring that delivery meets order terms
- Manage plans for stock levels reacting to changes in demand and logistics ensuring that the right uniform quantities and sizes are available at all facilities
- Liaise with various business units within the organization to ensure uniform projects are completed
- Analyze life span of uniforms, inventory levels etc. to be able to manage budgets, inventory and reorders accordingly
- Review business unit and colleague feedback to ensure uniforms meet business requirements.

LAUNDRY & UNIFORM DISTRIBUTION
- Review laundry service supplier operating and washing procedures and recommend improvements/variations to achieve better results and life span of uniform items
- Oversee proper implementation of laundry standards and safety procedures at all times.
- Conduct facility site inspection of laundry service provider as per schedule and communicate any found areas of improvements.
- Propose and review current laundry distribution set-ups and procedures and make recommendations where better efficiencies can be achieved
- Provide support in implementing any changes to distribution facilities or procedures through the writing of SOPs, policies and training of involved personnel, specifically the housekeeping and laundry team

TRAINING AND DEVELOPMENT
- Ensures newly-joined Colleagues in uniform distribution are trained as per Colleague Training Record guidelines.
- Conduct on-the-job trainings to department Colleagues (as needed) to ensure relevant policies, SOPs and forms are implemented correctly at all times
- Reviews satisfaction results for their areas and identify any trends and share observations and suggestions with Soft Services Director.

QUALITY SERVICE STANDARDS
- Ensures smooth flow of operations in terms of uniform availability, quality, distribution system and laundering/wash quality.
- Manages requests, complaints and suggestions and needed follow-up and timely resolution of any Colleague uniform issues.
- Communicates and coordinates any health or safety hazards with concerned department to resolve the same.

KPIs, INVENTORIES AND REPORTS
- Recommends budget inputs for uniform procurement per facility and department.
- Manages all inventories by ensuring timely requisitions and reviewing controls to loss and damage.
- Manages processing of all related documents (delivery notes, invoices, LPOs etc.) to ensure proper billing of delivered goods and/or services (i.e. uniforms).
- Oversees monitoring of KPIs, ensuring processes are in place to monitor and meet approved KPIs.
- Ensures the function is aligned with the organization’s goals and objectives.
- Assists and/or develops the department budget annually and ensures actual expenses are managed as per approved budget in order to increase profit.
- Maintains building facilities, equipment and supplies in order to minimize damage, reduce waste and control costs.
- Actively seeks and implements cost saving programs in order to provide positive financial results.

OTHERS
- Performs any other related duties as assigned by the department.

Requirements

- Higher Secondary or equivalent.
- Professional accreditation or textile technology degree, preferred
- At least 2 years’ experience working in design and procurement of uniforms in an organization with a wide variety of branded/themed uniforms and large inventories
- Very good command of English language, both verbal and written
- Proficient in MS Word, Excel and Power Point software program
- Ability to work well with others as a team member.
- Ability to work as a Leader.
- Experience of research, preparation and proposal of yearly budget, with the ability to understand, interpret and analyze Profit and Loss Statements.

Desirable:
- Previous experience working in uniform departments at either a theme park or an airline with stringent IP and theming standards
- Previous experience in uniform distribution and/or laundry services
