Context:
The Workshop Coordinator is in charge of the daily operations at the workshop, starting from fleet maintenance to employee relations. This is done in coordination with the workshop manager and in line with the organization’s needs to comply with business objectives in the short, medium and long terms and in accordance with the terms of our various contracts and the Integrated Management System.
Job Description
Main Accountabilities:
- Ensure all planned preventive maintenance schedules are followed and vehicles booked in timely order.
- Ensure preventive maintenance and repairs are meeting all quality and safety standards through frequent checks and inspections
- Ensure all workshop related assets are properly maintained and are in optimum working condition at all times.
- In charge of timely recording of all tasks in job cards
- Proper delegation of tasks to respective team members based on skill levels and experience
- Act as a focal point of communication with colleagues in the operations teams for any type of escalations.
- In charge of ensuring that proper tools and equipment along with spare parts are available at all times for subordinates to carry out their tasks efficiently and in a safe manner.
- Perform regular inventory checks on spare parts, tools and equipment and report the same to workshop manager
- Recording subordinates duty times, preparing time sheets and controlling overtime to be in line with the budget.
- Regularly review his/her team size to ensure the number of employees matches contracts’ requirements and workload.
- Support HR in hiring new employees for his/her team by interviewing and assessing candidates.
- Plan subordinates work schedule and leave/off days to agreed levels to ensure continuity of business, ensure employees take leave in line with UAE labour law and return on time.
- Diligently perform any other reasonable work or related tasks at the request of his/her line manager.
QHSE (Corporate Responsibilities):
- Understand, implement and follow the Veolia/OSHAD QHSE policies.
- Report any HSE incident immediately, as per VESE HSE procedures.
- Implements and encourages the behavioural based safety culture through safe job observations.
- Perform daily meetings with subordinates to monitor and promote a safe workplace.
- Actively participate in the HSE incident investigations and prepare required reports in consultation with the department's manager.
- Never attempt to do the job in an unsafe manner which may adversely affect them, co-workers and/or general public.
- Carrying out assigned tasks and duties in a safe manner, in accordance with instructions, and to comply with QHSE procedures.
- Consult senior, if aware of any unsafe practice or condition, or if in any doubt about the safety of any situation.
- Obtaining and using the correct tools/equipment for the work and not to use any that are unsafe or damaged. All tools, equipment and personal protective equipment must be stored in good condition in the approved place after use.

- Report all relevant information to the department’s manager promptly and accurately.
- Ensure effective and prompt communication at all times.
Requirements:
Education and Experience Required:
- Hold a relevant educational qualification from a well recognized and reputable academic institution fit for the required job function.
- At least 5 years of proven experience in the same field with at least 3 years in supervisory level. Experience in the waste management or oil and gas industry is an advantage.
Technical Skills:
- Advance knowledge of Diesel Engine mechanisms.
- Valid UAE light manual vehicle driving license is a must.
- General knowledge of Environmental hazards and HSE principles.
- Innovative and continual improvement mindset.
- Effective problem identification and problem solving.
Teamwork and Collaboration :
- Ability to adapt to changes in the work environment.
- Maximum flexibility due to the nature of work.
- Ability to work effectively in a multicultural team environment.
- Excellent interpersonal and conflict handling skills.
Communication:
- Good command of written and spoken English and Hindi/ Urdu is a must.
- Good command of Arabic is an advantage.
- Able to transfer knowledge to colleagues, interns and students.
- Ensure proper record keeping.
- Communicate accurately, correctly, timely, effectively and in an appropriate manner using email, documentation and verbally.
Organizing and Reporting:
- Excellent planning and organizing skills.
- Excellent workload and time management.
- Excellent report writing skills with attention to detail, correctness and accuracy with good use of English and technical terminology.
- Able to create new reports and tools for use by employees and his line manager.
IT Skills:
- Proficiency in Google suite and apps.
