Job description / Role

Employment: Full Time

Duties and responsibilities not limited to:
- Provide clerical and administrative support in an effective and efficient manner by providing the highest level of customer service for clients, staff, and visitors.
- Answer telephone, screen and direct calls.
- Take and relay messages
- Provide information to callers
- Greet and direct visitors entering organization.
- Provide administrative and clerical support.
- Ensure knowledge of staff movements in and out of organization.
- Timely distribution of mail, deliveries and faxes.
- Manage courier coordination.
- Prepare and follow up orders for office supplies (e.g. stationary, F&B, etc.).
- Research and investigate information to enable strategic decision-making by others.
- Maintain security by following procedures and monitoring logbook
- Maintain cleanliness of the reception area
- Notify appropriate supervisor and/or manager of any critical incidents or emergencies
- Responsible for ensuring printers, photocopiers, scanners are maintained properly
- Responsible for booking any taxis and for maintaining a map showing local parking areas / restrictions.
- Managing the timely delivery of the post he/she could be responsible for ensuring any outgoing mail reaches the external mailbox on time for collection.

Requirements

- High school graduate with basic office skills.
- Minimum 3 years’ experience in the same role.
- Experience in administrative or clerical activities is an added advantage.
- Excellent telephone manners
- Excellent verbal and written communication
- Detail oriented
- Able to manage time and have exceptional organizational skills
- Competent in MSWord, MS Excel, MS PowerPoint and MS Outlook applications.
- Able to multi-task
- Able to work well under stressful conditions
- Maintain a high level of personal presentation at all times.
- Excellent in customer service
