Overview

Mission

The Document Controller participates in the implementation and the management of a documentary support in order to:

- Manage the documents and records in EDMS
- Manage a documentation centre with all the documents including drawings and correspondence / technical submissions of the project
- Answer the staff information and project document requirements

Responsibilities

- Tasks, activities and responsibilities

Document Controller is responsible for the following tasks/activities:

- Work as a gatekeeper for the relevant project
- Registering and transmitting all documents in EDMS (ACONEX)
- Uploads and registers documents on ACONEX according the established procedure by providing necessary details like:
- Document Number
- Title of the document
- Type of document
- Revision or version number of the document
- Revision /creation date of the document
- Log number or reference number of incoming documents (if any)
- Other mandatory attributes / fields (if any)
- If and when required, scans, renames, copies, distributes or transmits through EDMS the documents to the concerned persons
- Answers the staff queries regarding project documents and provides information to them regarding documents
- Keeps record of all documents up to date in the form of EDMS document register
- Monitors the hard copies of the documents in the documentation centre or room (if any) and advises to the Clerical assistant regarding filing
- Prepares a daily, weekly or monthly document reports (if and when required) communicates the filed documents asked by the ADPi staff.
- Updates any document(s), list(s) or records for the ADPi staff (if and when required)
- Informs and update the Administration Manager regarding shortcomings and bottlenecks in the documentation system and procedures
- Assists and coordinates with the quality team in documentation and records of the
- Quality Management System related documents
- Any other job assigned by ADPi management within his/her framework of contract and skills

In the framework of his/her activities, the Document Controller works efficiently to promote quality requirements.

Requirements

Qualifications

Skills and competencies, qualifications and personal attributes

Document Controller demonstrates following skills, competencies and knowledge:

- Graduate from an institute
- 5 years experience in Document control
- Able to use EDMS (ACONEX) system efficiently for documentation and records
- Good knowledge of project processes and procedures
- Able to manage various documents
- Fully conversant with software or web applications (EDMS related) and basic computer skills like MS Excel, MS Word etc.
- Familiar and able to use various hardware / equipment for printing, scanning, photocopying etc.
