Our newest opportunity is for a talented Secretary to join our award-winning team based within our Bahrain Office. This role is for Bahrain Nationals.

This critical role will be responsible for providing high-level administrative support to the Executive - Infrastructure Division through performing clerical functions such as diary/calendar management, preparing correspondence, receiving visitors, arranging conference calls and schedule meetings while ensuring high levels of diplomacy, confidentiality and projecting a professional image.

Responsibilities

Paramount to success within this varied role will include:

- Preparing letters, reports, memos, minutes of meetings, invoices, financial/variation statements or other documents using word processing, spreadsheet database or presentation software.
- Conducting research, compile data and prepare papers for consideration and presentation by executives, committees and directors.
- Reading and analysing incoming memos, letters, submissions and reports to determine their significance and plan their distribution.
- Answering phone calls from suppliers or any client prospects and direct calls to appropriate parties or take messages.
- Performing general office duties, such as monitoring office supplies, maintaining records, management of database systems, and monitoring timely submission of reports.
- Filing and retrieving corporate documents, records and reports.
- Receiving, sorting and distributing incoming correspondence, and email.
- Making travel arrangement for the executives and manage executive diaries.
- Managing Outlook/MS Teams calendar.

Requirements

To be successful in this dynamic opportunity, we envisage that you will bring a minimum of 5 + years' career experience coupled with advanced proficiency in MS applications (Word, Excel, PowerPoint) Aconex knowledge is a plus , partnered with a Bachelor's Degree or Diploma in Administration or equivalent .

Experience working within the Gulf Region is essential whilst a background in the engineering, architectural or construction industry would be viewed favorably.
