Position reports to: Country Manager - Environment & Society

Job Description:

Document Management
- Prepare and distribute correspondence and program documentation.
- Receipt and distribute group documentation.
- Set up and maintain group files.

Administration support
- Prepare expense reports and purchase orders.
- Arrange meetings, including organizing equipment requirements, ordering of food and beverages.
- Support the administration teams of other customer sector groups.

Correspondence
- Secretarial/administrative support.
- Typing of correspondence for internal and external clients.
- Typing of memos, letters, faxes and proposals.

Quality Assurance
- Quality Assurance - Responsible for working within the provisions and guidelines of the Quality Assurance system relevant to the Procurement group.
- Safety - Responsible for personal safety safe working practices for the BU, etc. Understand and follow OH&S procedures.

Capabilities:
- Business correspondence and documents are prepared and distributed in accordance with organizational guidelines and within required timelines.
- Registers, databases and files are maintained with accurate and timely information in accordance with organizational requirements.
- Administrative support is provided to the department and other departments/areas in an effective and timely manner.
- Demonstrated understanding of all company policies and procedures applicable to current role.
- Develop others and own ideas - Seek and expand on original ideas, enhance other ideas, and contribute own ideas about the issues at hand.
- Use of effective interpersonal style to establish good interpersonal relationships by helping people feel valued, appreciated, and included in discussions.
- Clear communication that follows a logical sequence, stresses the major points and seeks input from the audience.
- Able to attend to messages from others, correctly interpreting the message and responding appropriately.
- Take prompt action to accomplish objectives and implement new ideas or potential solutions
- independently.
- Manage time and resources to ensure work is completed efficiently, through prioritization of tasks and scheduling of activities.
- Use of time effectively to prevent irrelevant issues or distractions from interfering with work completion.
- Set high standards of performance, assume responsibility and accountability for successfully completing high quality tasks.
- Attention to detail and responsibility for outcomes.

Requirements

Essential skills/experience
- Proven time management and organizational skills.
- Demonstrated verbal and written communication skills.
- Ability to work with and maintain confidential information.
- Able to work with details and complex documentation.

Work autonomously whilst contributing to the team.

Matching indicators
- Secretarial or Office Administration qualifications.
- MS Office experience essential.
- Engineering consultancy experience is highly preferred.
