SUMMARY OF POSITION:

A university registrar is an administrator responsible for updating and maintaining students' academic records, attendance, class enrollments, schedules, and other details necessary to keep the institution in high quality and effective manners. The Registrar has administrative and operational oversight of several key functions of the university as well as the responsibility for creating, maintaining and evaluating the administrative and physical infrastructure required to support the mandate and mission of the institute.

RESPONSIBILITIES:

- Provide leadership and develop appropriate recommendations for the implementation of related technology application in support of enhanced services offered through Registration and Records
- Develop and administer the departmental budget
- Coordinate, evaluate and verify student degree audits
- Oversee and approve the University calendars and class, exam, and other scheduling needs
- Support academic units in planning for each semester
- Problem solve the research, analysis and resolution of student disputes as they relate
- Organize and administer the records, registration and graduation functions, including transcript evaluations process in order to provide maximum service to students while ensuring efficient and effective workflow
- Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including catalog and registration/records policy questions
- Train staff at the registrar's office to use software related to records administration.
- Keep student information confidential and secure.
- Supervise the coordination, evaluation and certification of all graduation applications, while overseeing the complete graduation process to include all elements of the rehearsal and ceremony.
- Responsible for collecting, recording, maintaining and reporting of student records
- Provide leadership and develop appropriate recommendations for the implementation of related technology application in support of enhanced services offered through Registration and Records
- Verify during the enrollment process (transcripts and admissions documentation)
- Develop and manage the departmental budget
- Ensure timely and accurate dissemination of schedule and catalog information
- Publish the university course catalog
- Provide ongoing training on course scheduling and contact time to academic department directors and support staff as needed Hire, supervise and evaluate the Records and Registration staff
- Any other tasks related to the role

Requirements

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

- Bachelor's Degree (Master's preferred)
- At least five years’ work experience in a related field; prior experience as a registrar for a similar institution is required
- Excellent organizational skills
- Strong computer literacy with database familiarity
- Excellent interpersonal and communication skills
- Excellent written and verbal communication skills in English (Arabic advantage)
- Proficiency in MS Office (Word, PowerPoint, Excel) and database applications.
- Conflict resolution and multi-tasking skills
- Demonstrate a high degree of service mindset and delivering results
- Demonstrate a high degree of professionalism and the can-do mindset
- Manage complex and highly sensitive materials and to foster a culture of confidentiality
- Strong work ethic with the ability to excel in a demanding, outcome-oriented, and dynamic environment with little supervision

OTHER REQUIREMENTS, ABILITIES FOR THE POSITION:

- Familiar with the American education system is an advantage
- Ability to work collaboratively with faculty, administrators and another staff member
- Ability to make balanced judgments and decisions
- Ability to work well with individuals from diverse backgrounds
- Strong organizational and planning skills
- Ability to succeed in a fast-paced environment

About the Company

AUIB is an American-style, nonprofit university located next to the Baghdad International Airport in Baghdad. This large-scale, multi-million dollar project is funded by Iraqi and U.S. donors, both public and private. The university opens for students on Jan. 17, 2021, with the College of Arts & Sciences, College of International Studies, and the College of Business. Eventually, there will be 10 colleges at the university, including a College of Medicine.
