Job description / Role

Employment: Full Time

- To ensure department manpower requirement are filled as per the approved manpower budget.
- To help and provide assistance in preparing the annual manpower plan, budgeting and forecasting in coordination with senior and VP.
- To ensure RRF’s are raised as per the approved department manpower budget.
- Prepare and maintain job description for all positions in the Department.
- Conduct all HR activities such as vacancy advertising, recruitment, disciplinary action, payroll, etc of the department.
- Coordinate with HRD for support services pertaining to manpower requirement, promotions, recruitment, termination, disciplinary action, staff travels issues, duty travel issues and all other employee’s relations as applicable.
- Conduct briefings to staff on matters pertaining to HR policies, staff welfare, etc and ensure implementation of company HR policies.
- Review staff attendance etc and follow up with HR on staff attendance matters as per company HR policy
- Monitor activities of the Admin section and ensure that they are handled accurately, i.e attendance, absenteeism and leaves (annual-special-training), punctuality.
- Review and resolve staff grievances.
- Ensure that the staff’s job performances are properly evaluated and deserving staffs are duly rewarded.
- Ensure that Departments assets and resources are properly utilized for the overall benefit of the entire organization.
- Preparing staff appraisals and evaluation
- Assess staff nominated for Employee of the month as recommended by VP.
- Prepare training programmed for staff as per training budget. Adjust roster and notify staff concerned
- To prepare charge sheet or any other disciplinary action as instructed by HOD.
- Office equipment breakage and maintenance, raise work order for repairs and follow up
- Maintain and prepare monthly HR & Administration statistical report of the department.
- General correspondence, report writing, email follow up and feedback
- Organize meetings, preparing minutes and distribution of copies with follow up on actions
- To set out procedures on various issues pertaining to administration to ensure department smooth function
- Analyze the data collected and propose ways to improve the work processes and improve staff and resource utilization.
- Expenditure and exercise tight controls to prevent excessive expenditure
- To prepare guidelines and quick reference on department functions as per VP and HR guidelines to assist staff to perform better.
- Manage the department’s asset control system as required by the management
- Staff grievances, complaint investigation, follow up, remedial action and final report to be constructed with recommendation and suggestion.
- Perform any other duties as directed by the VP.

Requirements

- Bachelor degree in a related discipline preferably in Business Administration / Human Resource with 8 years of relevant experience preferably as a HR generalist with a reputed organisation.
- OR Two years college diploma in a related discipline with 12 years of relevant experience.
