Position Summary

Under the overall direction of the Senior Associate Dean for Population Health and Capacity Building and Director, IPH, this role will report to the IPH Administration Manager. The IPH Administrative Coordinator provides a wide range of administrative support to all members of the Institute for Population Health/the Mamtani Lab, and will also coordinate the administrative activities associated with various research projects funded under the auspices of the BMRP (Mamtani Lab).

Job Responsibilities

• Excellent organizational, writing and communication skills to manage efficiently all administrative activities for the office of the Senior Associate Dean for Population Health, Capacity Building, Student Affairs, Mamtani Lab and Director, IPH.
• In addition to providing general support for everyday administrative activities, this position coordinates the administrative support of global and local projects as appropriate.
• Responds to all internal or external queries relating to the Division either by providing information based on own knowledge or directing the query to other staff or faculty as appropriate.
• Coordinates all travel and conference planning for the Institute for Population Health and BMR projects.
• Responsible for planning and coordinating arrangements for conferences, workshops, meetings, and other events as directed and for processing and following-up on travel reimbursements with regard to the same.
• Follows up on travel arrangements, logistics and itineraries for guests of the Institute for Population Health and affiliated faculty and staff as directed.
• Updates standard operating procedures (SOPs) for the Institute. Prepares, reports and updates the website and its content as directed. The incumbent should be able to conduct literature reviews on global and public health topics as directed.
• Initiates related requisitions and purchase requisitions (shopping carts) in financial enterprise system and closes purchase order upon complete delivery of items.
• Reviews and reconciles payment of related invoices and reimbursement of work-related expenses in accordance with WCM-Q financial policies. Follows-up as necessary with appropriate parties, both internal and external.
• Liaises independently with staff/faculty at WCM-Q,WCM-NY, HMC, SIDRA, Ministry of Public Health, Qatar Foundation and others. Responds to queries with information based on own knowledge or directs to other staff/faculty as appropriate.
• Drafts correspondence, sets up, maintains and manages electronic and paper files. Organizes the Institute for Population Health office ensuring appropriate equipment, supplies and materials are in place.
• Prepares agendas for meetings, takes minutes and / or summarizes notes into minutes as directed. Provides word-processing, spreadsheet and presentation software services.
• Arranges video conferences when required. Responsible for calendar management of the Institute for Population Health and affiliates as required.
• Perform other functions, duties, tasks and responsibilities as assigned or required.

Requirements

Education
• Bachelor's Degree

Experience
• Minimum of 3 years experience in administrative support role(s), reflecting increasing responsibility and career progression.
• Previous work experience in a health related environment desirable.
• Related experience in post secondary education and/or medical education systems is preferred
• Arabic speaking and writing, is preferred.

• Bilingual English and Arabic, speaking and writing
