Job description / Role
• Answering calls, taking messages and handling correspondence
• Manage the daily/weekly/monthly agenda (producing agendas and taking minutes)
• and appointments dairy for Director
• Organize and coordinate new meetings, caterings, conferences, travel arrangements
• Prepare and disseminate correspondence, memos, Letters and forms
• File and update contact information of employees, customers, suppliers and external partners
• Support and facilitate the completion of regular reports
• Develop and maintain a filing system
• Check frequently the levels of office supplies and place appropriate orders
• Document expenses and hand in reports
• Implementing new procedures and administrative systems
• Managing reception, meeting and greeting clients
• Ensure knowledge of staff movements in and out of organization
• Coordinating mail-shots and similar publicity tasks
• Logging or processing bills or expenses
Requirements
• Should be Graduate and Proficiency in MS Office
• Knowledge of administrative and clerical procedures
• Knowledge of computers and relevant software application
• Knowledge of customer service principles and practices
• keyboard skills, ability to work a switchboard
• Proven experience in information and communication management
