Employment: Full Time

Position Summary
Under the direct supervision of the Business Services Manager, this position will provide administrative support to the Finance and Business Services Division. The incumbent will be responsible for a wide variety of tasks, which will require a high degree of organizational skills. In addition to daily tasks, the incumbent will work on special projects associated with reporting and process improvement.

Job Responsibilities
• Responsible for generating and organizing data for quarterly reports or other reports as requested.
• Responsible for entering relevant information into contract management software and tracking contract renewals.
• Responsible for maintaining the FABS teams centralized calendar, organizing meetings and division events.
• Ensures critical information is maintained in a timely, accurate manner by updating relevant spreadsheets and housing benefit information in financial enterprise system. Ensures information files are maintained.
• Contributes to the development and maintenance of SOPs and process maps to facilitate process improvement and transparency.
• Conducts housing inspections and coordinates with landlords on necessary requests.
• Drafts routine correspondence; creates forms and reports; organizes and updates electronic files for the division.
• Assists in employee onboarding process. Performs housing tours, puts together information packages.
• Assists with administrative tasks for the division as requested.
• Performs other related duties as assigned.

Requirements

• Bachelor's Degree in related field
• BA/BS degree in Finance, Accounting, Commerce or similar field preferred.

Experience
• Approximately 2 years prior experience in Procurement or contracts.
• Prior working experience in a research, medical or educational environment preferred.
• Prior experience working in a cross cultural environment.
• Previously demonstrated experience with Microsoft Office products including: word processing, presentation software and spreadsheets.
• Prior experience working with SAP is a plus.

Knowledge, Skills and Abilities

• Previously demonstrated advanced level multi-tasking ability in a results oriented environment
• Excellent interpersonal and communication skills.
• Previously demonstrated fluency in the English language.
• Ability to read, write and speak Arabic desirable.
• Excellent organizational skills.
• Previously demonstrated ability to work independently and safeguard confidential information.
• Working Conditions/Physical Demands
• Valid Qatari drivers license required.
